Requirements

Diploma in Legal Secretarial Studies or an equivalent qualification.
7 years of experience in a private law firm supporting one or more legal professionals, ideally including a partner.
Bilingual in English and French to support clients in both languages.
Excellent verbal and written communication skills.
Knowledge of legal procedures and practices.
Proficiency with Microsoft Office and standard office software.
Strong organizational skills with the ability to manage multiple priorities.
Ability to work independently with minimal supervision.
Strong team player.
Exceptional attention to detail.

Responsibilities

Provide administrative and legal secretarial support to real estate law professionals.
Review, edit, format, and transcribe a variety of legal documents.
Compare documents using Litera Compare.
Update client lists.
Perform photocopying, printing, and document scanning.
Monitor internal and external calls and initiate conference calls as required.
Manage lawyers' calendars and email correspondence.
Open new files and ensure ongoing administrative follow-up.
Enter and update information in OnePlace.
Coordinate travel arrangements and book hotels, restaurants, vehicles, and meeting rooms.
Organize meetings, videoconferences, and client meetings, including catering arrangements.
Prepare conflict search requests and follow up as required.
Perform daily time-entry follow-up, as well as weekly and monthly reviews.
Prepare monthly billing.
Prepare expense reports, cheque requests, and trust account bank transfer requests.
Prepare presentation materials as required.
Maintain filing, reminder, and records management systems.
Collaborate with other legal professionals, legal assistants, students, and articling students as required.
Commission affidavits and administer oaths for lawyers and clients.
