About The Position

A Legal Assistant IV will be based in each Bureau within the Criminal and Capital Appeals Division and will directly support the Chief Assistant Attorney General in the Bureau. The position will work closely with the Bureau Chief to support the mission of the Division and assist with the case management and administrative duties involved with managing the Bureau.

Requirements

  • Four (4) years of secretarial/clerical experience
  • A high school diploma or equivalency
  • Minimum of one (1) year experience must be in a similar position within the Office of the Attorney General, similar large legal organization, large corporate entity, or legal department of state or federal government agency.
  • Submit a complete and accurate application profile necessary for qualifying such as dates of service, reason for leaving, etc.
  • Ensure all employment and/or detailed information about work experience is listed on the application (including military service, self-employment, job-related volunteer work, internships, etc.) and that gaps in employment are explained.
  • Applicant responses to qualifying questions must be verifiable by skills and/or experience stated on the employment application and/or resume.

Nice To Haves

  • Two year degree or certificate in Paralegal Studies or related field may substitute for two (2) years of required experience.

Responsibilities

  • Draft, edit, prepare and electronically file legal documents with the courts under Bureau Chief’s supervision.
  • Prepare routine correspondence using preapproved document templates.
  • Calendar deadlines in accordance with applicable rules of procedure.
  • Maintain and file records and reports on case activity and prepare necessary statistical reports.
  • Oversee the Bureau’s case files and maintain the docketing.
  • Coordinate meetings and court appearances, including space, time, place, and notification of participants.
  • Provide administrative support to the Bureau Chief.
  • Assist the Bureau Chief with the Hiring Process.
  • Maintain Bureau Chief’s calendars and arrange travel itinerary and hotel accommodations and reimbursement forms.
  • Arrange conference calls and meetings.
  • Answer questions which may involve the interpretation of policies and procedures.
  • Oversee purchasing for the Bureau.
  • Assist with public records responses.
  • Responsible for all administrative activities as required.
  • Mentor and review the work of lower-level Legal Assistants.
  • Make assignments, schedule hours of work, and provide for office coverage by legal assistants.
