About The Position

Support services to assist OGC attorneys and legal staff with litigation support, legal administrative support, document management, case file organization, document production, scheduling, tracking and related clerical support functions. The Contractor shall provide legal assistant and administrative support services to GSA OGC. Support shall include, but is not limited to, front office support, scheduling, correspondence, filing, document preparation, legal administrative support, legal review tracking, data entry, records support, and optional Freedom of Information Act support, if exercised by the Government. The Contractor shall provide support at the Government-designated place of performance and may be required to provide onsite support with possible telework support (telework requires prior approval) for any OGC division nationwide, as requested and approved by the Government. Legal Assistant Staffing Requirement The Contractor shall provide qualified legal assistant personnel capable of performing administrative, clerical, legal support, records management, document preparation, scheduling, tracking, and customer service duties in support of GSA OGC. Contractor personnel shall perform assigned duties in accordance with Government procedures, applicable deadlines, confidentiality requirements, records management requirements, and security requirements.

Requirements

Responsibilities

  • Greet visitors to the office.
  • Control visitor access in accordance with Government security procedures.
  • Implement applicable visitor management and office security procedures.
  • Direct visitors to the appropriate Government personnel.
  • Provide routine or procedural office information, as authorized.
  • Maintain a professional front office environment.
  • Answer and direct phone inquiries to appropriate personnel.
  • Receive and record messages.
  • Maintain a log of messages, as required.
  • Ascertain the nature of requests from callers or visitors.
  • Determine, consistent with Government direction, whether routine or procedural information may be provided.
  • Strictly follow the Government-provided routing matrix.
  • Direct callers, visitors, and inquiries to appropriate OGC staff.
  • Protect sensitive information from unauthorized disclosure when responding to inquiries.
  • Maintain assigned attorneys' calendars.
  • Schedule appointments, meetings, conferences, and conference calls.
  • Maintain daily suspense lists of commitments, as required.
  • Remind attorneys and staff of appointments, deadlines, meetings, and conference calls.
  • Arrange conference calls and meetings.
  • Reserve meeting rooms and ensure room scheduling conflicts do not occur.
  • Notify participants of meeting details and changes.
  • Prepare meeting rooms and conference materials, as required.
  • Reschedule appointments and meetings when necessary.
  • Schedule and make travel and lodging arrangements for OGC staff, as directed.
  • Make cost comparisons for travel arrangements.
  • Secure required pre-travel approvals and travel advances, as applicable.
  • Input travel vouchers into ConcurGov or other Government-designated travel systems.
  • Serve as timekeeper, as assigned.
  • Input time and leave information into HR Links or other Government-designated systems.
  • Receive, open, time stamp, review, and distribute incoming mail.
  • Receive, review, and distribute incoming faxes, if applicable.
  • Determine whether incoming mail should be brought to the immediate attention of a supervisor.
  • Route mail to appropriate staff members.
  • Identify priority mail and distribute it appropriately.
  • Identify mail erroneously sent to OGC and route it to the proper destination.
  • Collect, sort, and distribute correspondence daily.
  • Collect, prepare, and dispatch outgoing mail daily.
  • Coordinate local courier service when necessary and approved by the Government.
  • Prepare legal documents, correspondence, reports, and other written materials.
  • Prepare routine correspondence and non-technical legal documents with limited supervision.
  • Prepare complex reports or documents using Microsoft Office, Google Workspace, Adobe, and other authorized systems.
  • Produce documents from handwritten drafts, edited copy, or electronic files.
  • Create, copy, edit, insert, delete, move, store, retrieve, and print text and documents.
  • Prepare final-form correspondence with responsibility for format, arrangement, grammar, spelling, punctuation, capitalization, pagination, and consistency.
  • Review legal briefs, memoranda, attachments, exhibits, pleadings, and other documents for proper format.
  • Prepare documents requiring complex formatting, including charts, special symbols, tables of authorities, and other tables.
  • Ensure documents comply with applicable office, agency, court, board, or commission formatting requirements.
  • Review outgoing correspondence and documents to ensure proper signature, attachments, enclosures, and procedural compliance.
  • Flag potential formatting inconsistencies or missing references for the document author's review and resolution.
  • Keep informed of applicable clerical and administrative directives, policies, and procedures.
  • Perform other administrative support duties that are within the scope of this PWS and are assigned by authorized Government personnel.
  • Provide general clerical support.
  • Perform internet searches.
  • Provide telephone support for other OGC offices.
  • Provide assistance with special projects.
  • Provide administrative support related to workload tracking, litigation tracking, records, or correspondence.
  • Provide support for internal reporting requirements.
