About The Position

This Legal Assistant II position is in the Office of the Attorney General within the Federal Habeas Corpus in West Palm Beach, Florida. The Office represents the State of Florida in state and federal civil and criminal courts, from trial courts to the Supreme Court of the United States.

Requirements

  • Two (2) years of secretarial/clerical experience
  • A high school diploma or equivalency.
  • A completed year of education can substitute on a year for year basis for required work experience.

Responsibilities

  • Draft, edit and prepare legal documents under supervision of attorneys and staff.
  • Prepare routine correspondence based on preapproved document templates.
  • Calendar deadlines in accordance with applicable rules of procedure.
  • Electronically file documents with courts.
  • Assist in the processing and maintenance of all electronic media including e-filings, evidence and media.
  • Maintain electronic case tracking database, requiring daily docketing and data entry of case notes and information.
  • Maintain calendars.
  • Maintain electronic document management database, requiring daily uploading and indexing of all court filings served on the business unit.
  • Assist with data collection from outside agency partners.
  • Prepare Exhibits for filing in the Federal Courts.
  • Secure supplemental case information and evidence.
  • Assist with coordination of service of process and subpoenas.
  • Assist with obtaining transcripts and court records.
  • Assist victims and witnesses.
  • Assist agency law enforcement with scanning documents.
  • Transcribe dictation as needed.
  • Coordinate services needed for federal evidentiary hearing, oral argument and deposition proceedings such as transportation and translation services.
  • May accompany attorneys to court and assist as required.
  • Assist with coordinating meetings, depositions and or court appearances including space, time, place and notify all participants.
  • Receive, scan, process and distribute incoming mail.
  • Send and track legal mail per established procedures and in accordance with State of Florida Administrative Rules and Rules of Federal Procedure.
  • Coordinate ordering of substantial paper copy jobs for legal service on opposing parties and/or the Federal Courts; receive orders in office and ensure proper service of such documents in the appropriate time and manner.
  • File receiving reports in the appropriate Purchasing database, save required receipts and send proper notification to supervisor and attorneys-of-record when copies are received.
  • Notarize documents as needed if a notary.
  • Responsible for all administrative activities as required.
  • Bilingual employees who are able may be asked to assist in translations as needed.
  • Train lower level Legal Assistants.
  • Perform any and all duties as required.
