About The Position

Under general supervision, performs professional legal work of moderate difficulty by assisting attorneys throughout various phases of the legal process.

Requirements

  • Associate’s degree in criminal justice, or related field.
  • A minimum of two (2) years of general office, legal secretary, or administrative support experience.
  • Must possess a valid Arizona driver’s license.
  • Knowledge of legal terminology, legal forms, and document preparation.
  • Knowledge of pertinent legal databases and rules of criminal procedure.
  • Knowledge of clerical and office practices and procedures.
  • Knowledge of business English, spelling, grammar, punctuation, and composition.
  • Knowledge of research techniques and report writing.
  • Knowledge of current Microsoft Office software.
  • Knowledge of filing and recordkeeping systems.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • Ability to prepare accurate and thorough legal documents and correspondence.
  • Ability to multitask and prioritize work independently under general supervision.
  • Ability to answer inquiries and provide information clearly and professionally.
  • Ability to maintain security and adhere to office policies and procedures.
  • Ability to develop effective working relationships with associates, other departments, external agencies, and the public.
  • Ability to keep management informed of key operational issues.
  • Ability to remain current with knowledge required to perform assigned duties.
  • Ability to act with courtesy, tact, and diplomacy.

  • An equivalent combination of directly related work experience and education may substitute for the degree on a year-per-year basis.

Responsibilities

  • Formats, types, and prepares legal documents, correspondence, and memoranda from drafts and instructions.
  • Files legal documents with courts and other appropriate entities, obtaining necessary hearing dates.
  • Maintains attorney calendars by scheduling court appearances, meetings, and deadlines.
  • Assists clients, courts, and the general public via telephone and in person, providing information and support.
  • Processes, copies, scans, and logs incoming and outgoing case documents.
  • Assists attorneys with trial and court preparation by organizing documents, evidence, and exhibits.
  • Reviews documents for completeness and accuracy, analyzing as needed to determine next steps in case management.
  • Maintains accurate case data and compiles information for statistical reports.
  • E-files legal documents through electronic case management and filing systems.
  • Performs other job-related duties as assigned.
