About The Position

The Legal On-Site Services Specialist provides operational support within a legal office environment by managing document production, mail services, scanning, shipping and receiving, and office support functions. This role operates high-volume copy and scanning equipment, processes incoming and outgoing mail and packages, applies postage, and maintains copier functionality. Responsibilities may also include bindery work, quality control, records management, file services, and other administrative support functions. The specialist works closely with legal professionals, including attorneys, paralegals, legal secretaries, and partners, to ensure timely, accurate, and confidential handling of legal documents and projects.

Requirements

  • High School Diploma, GED, or equivalent work experience required
  • Completion of Ricoh Legal Training within 90 days of hire and maintenance of ongoing training requirements
  • Demonstrated ability to provide exceptional customer service
  • Strong communication, interpersonal, and professional skills
  • Proficiency with Microsoft Office Suite and standard office technology
  • Technical aptitude with printers, copiers, postage machines, and other office equipment
  • Strong customer service and customer relationship skills
  • Excellent organizational and time management abilities
  • Knowledge of shipping and receiving procedures
  • Ability to support document management, cost recovery, and workflow systems
  • Strong troubleshooting and problem-solving skills
  • Ability to work independently and adapt to changing priorities
  • Ability to read and interpret technical manuals and documentation
  • Strong verbal communication and interpersonal skills

  • Proficiency with Microsoft Office Suite and basic computer applications

Nice To Haves

  • Basic electronics knowledge preferred
  • Previous copy center, print production, or document services experience preferred
  • Minimum one (1) year of experience in a legal office or legal services environment strongly preferred
