Ballard Spahr has an excellent opportunity for an experienced Legal Administrative Assistant with demonstrated litigation and administrative skills to support attorneys and clients in our Seattle office. The selected individual will assume responsibility with minimal supervision, exercise initiative and sound judgment within their assigned authority, and champion collaboration with attorneys, colleagues, and clients. This position requires a proactive professional who can anticipate needs, manage competing priorities, and deliver exceptional client service in a fast-paced legal environment. This hybrid position offers a work schedule of 3 days a week in the Seattle office.

Requirements

  • A minimum of 5 years of litigation experience required.
  • Experience preparing and filing documents in state and federal courts.
  • A high level of proficiency with MS Office.
  • Ability to demonstrate and exercise sound judgement, work independently with minimal supervision and manage confidential information.
  • Strong organization skills and the ability to prioritize competing demands while maintaining accuracy and attention to detail.

Nice To Haves

  • Experience with a document management system and time and billings systems is a plus.

Responsibilities

  • Maintain and process case information through final disposition.
  • Create and manage electronic files and prepare correspondence, memoranda, pleadings, and other complex legal documents.
  • Prepare documents for state and federal court filings and electronically file documents in various state and federal courts.
  • Maintain attorney calendars, schedules, and contact information.
  • Support new client intake and related administrative processes.
  • Provide exceptional internal and external client service while managing multiple priorities.
  • Prepare and process time entries, coordinate billing activities, arrange travel, and manage expense reimbursements.
