About The Position

The Legal Administrative Assistant will provide outstanding service in greeting guests, scheduling meetings, and answering calls. This role will proactively assist attorneys in managing their workloads and legal matters, and facilitate communication between and among attorneys and HBI's corporate and market personnel. The assistant will manage the intake of legal matters, communicate status updates, and proactively manage important deadlines. Responsibilities include drafting, revising, and proofreading agreements, correspondence, and other documents, as well as organizing and maintaining legal records, agreements, and files. The role also involves assisting with managing contacts, emails, printing, and mail processing, sending and tracking signature pages and original documents, and processing invoices and attorney reimbursements. The assistant will also complete other projects and tasks as assigned.

Requirements

  • Education beyond high school, training related to the legal industry, or prior LAA or administrative experience (or a combination of education and experience to meet the requirements of the position)
  • Five+ years of experience in a professional services environment
  • Proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, etc.)
  • Self-motivated, service-oriented, and eager to learn
  • Maintain a high level of discretion and preserve strict confidentiality in handling sensitive information and matters
  • Acts in a professional manner, has a strong work ethic, and high level of dependability and accountability in all tasks
  • Strong team player, skilled at managing projects and coordinating with others to meet deadlines
  • Able to work well under pressure, prioritize tasks, and assist attorneys in prioritizing tasks and deadlines
  • Highly organized and able to manage workflow
  • Able to take ownership of requests and demonstrate strong problem-solving skills
  • Communicate clearly and professionally at all levels and across the organization
