About The Position

In coordination with the Practice Group team, this role provides administrative support to attorneys, paralegals, legal assistants, legal specialists, and other colleagues as needed and requested. The position requires understanding the specific needs and business of the practice group, managing administrative tasks, and supporting the team with various in-office duties. A high level of attention to detail in Microsoft Office, effective workflow management, and a proactive, collaborative approach are essential.

Requirements

  • High school education
  • 3+ years office support experience
  • Accurate typing
  • Working knowledge of personal computers
  • Strong knowledge and skills in MS Outlook, Word, Excel, PowerPoint and Adobe Acrobat
  • Excellent grammar, spelling, punctuation and proofreading skills
  • Knowledge of basic office equipment (i.e., copier, scanner, telephones, etc.)
  • Aptitude to learn new computer programs
  • Excellent professional communication and interpersonal skills to deal with a wide variety of people inside and outside the firm
  • Excellent organizational skills to handle multiple priorities and the work assigned by several attorneys, paralegals, legal assistants, legal specialists and other colleagues throughout the firm
  • Ability to maintain composure, behave professionally and work effectively under pressure to meet tight deadlines
  • Excellent judgment, problem solving and decision-making skills to handle a variety of responsibilities under general supervision
  • Ability to work effectively independently and as part of a team

Responsibilities

  • Assist with the business intake process, including running adversary searches, drafting screening memos and engagement letters, and opening new files.
  • Manage administrative tasks such as processing and disseminating mail, preparing audit letter responses, inputting billable time, processing expense reports, handling check requests, and reviewing client billing statements.
  • Schedule and manage travel arrangements in partnership with the travel vendor.
  • Assist with all in-office tasks and requests, including copying, scanning, filing, preparation of binders, and document organization.
  • Create and edit documents in Microsoft Office with a high level of attention to detail.
  • Manage workflow and priorities effectively.
  • Proactively support the team and demonstrate a positive and collaborative approach.
  • Manage logistics for internal and/or external meetings.
  • Provide backup support in other areas, such as reception.
