About The Position

The Legal Administrative Assistant will be responsible for maintaining filing and organization systems for legal records, handling incoming and outgoing mail, drafting case update emails, preparing various immigration case work, and providing administrative support to attorneys and legal staff. This role also involves assisting with phone coverage, coordinating appointments, and supporting the receptionist when needed.

Responsibilities

  • Maintain filing and organization systems for legal records, including calendaring expiration dates, updating database records, and notifying the legal team of important dates.
  • Generate monthly expiration reports for attorneys and legal support staff.
  • Handle incoming and outgoing mail, including scanning and distributing documents.
  • Ensure all FedEx packages are sent.
  • Draft case update emails for attorneys and case managers.
  • Send Approval Notice Packets and redacted Petitions to clients.
  • Answer phones, direct calls, and receive messages professionally.
  • Coordinate and confirm appointments, schedule consultations and conference calls, and update event calendars.
  • Prepare Premium Processing Upgrades, EAD/AP Renewal Applications, Withdrawal Applications, and other immigration case work.
  • Send disengagement letters and post-green card letters to clients.
  • Assist support staff with passport photo printing.
  • Support attorneys and legal staff with copying, printing, and scanning of files and client documents.
  • Generate emails, reports, and memos as assigned by the Firm Administrator.
  • Maintain client contact lists.
  • Provide administrative support to attorneys and legal staff as needed.
  • Greet visitors and set up meeting rooms if the Receptionist is unavailable.
