About The Position

Serves as the primary College contact and administers leaves of all types for administrative and union employees including: leaves of absence (FMLA, PFML, personal, paid and unpaid), worker’s compensation claims, and short-term and long-term claims. May assist with or partner with the Provost's Office on faculty leaves. Responsible for the maintenance of the Workday Human Resources database for all employees. Works with Library and Technology Services (LTS) to review, test and launch Workday functionality. Additionally, generates standard and ad-hoc Human Resources reports. Serves as the primary contact for questions concerning vacation, sick or personal time and manages paid time off in Workday. Processes unemployment claims. Manage regulatory reporting requirements and procedures to ensure compliance with federal, state, and local Human Resources laws.

Requirements

  • Three to five years experience handling leave administration.
  • Strong knowledge of leave of absence programs including FMLA, PFML, ADA and ability to work with College and union contract leave policies.
  • Proficiency with HRIS systems, previous Workday experience strongly preferred.
  • Bachelor’s degree or equivalent experience required.
  • Thorough knowledge of employment related federal and state laws and regulations.
  • Excellent organizational, written and verbal communication skills with the ability to explain complex information clearly to managers and employees.
  • Proficiency with Microsoft Office including Word and Excel and with HRIS systems, Workday preferred.
  • Exceptional attention to detail and follow-through with the ability to handle multiple priorities.
  • Ability to work with and maintain confidential information and handle sensitive conversations with empathy and professionalism.

Nice To Haves

  • Prior experience in a higher education and unionized environment is a plus.
  • PHR/SPHR or SHRM certification a plus.

Responsibilities

  • Acts as the primary College contact and subject matter expert for administrative staffand union employee leave of absence requests.
  • Administers all paid and unpaid leaves including FMLA, PFML, workers compensation, military, jury duty, and personal leaves.
  • Communicates with employees, managers, department heads, chairs and the Provost’s office regarding the leave process. May assist with or partner with the Provost's Office on faculty leaves.
  • Monitors and tracks absence status and return to work dates.
  • Tracks leaves in Workday and adjusts premium and leave accruals as needed.
  • Provides leave of absence time off and disability pay details to the Payroll Manager.
  • Maintains an up to date knowledge of all federal and state laws and College policies relating to leave administration and advises on policies, guidelines, and documentation requirements.
  • Evaluates and improves leave of absence procedures and communications to ensure compliance with federal and state regulations.
  • Coordinates employee requests for reasonable accommodations, which may include working with the ADR office.
  • Acts as the primary contact for worker’s compensation claims.
  • Ensures that the Accident Report (ART) form is completed by the employee and the supervisor, notifies Worker’s Compensation insurer, and provides documentation to the Environmental Health and Services Manager.
  • Coordinates information with Workers Compensation insurer, including submitting wage information to insurer and submits time to payroll.
  • Prepares annual OSHA Report.
  • Acts as the primary contact and administrator for Short-term and Long-Term Disability claims for administrative, and union staff and coordinates the claim documentation with the insurance carrier.
  • Provides training on leaves administration processes.
  • Recommends improvements to enhance compliance, efficiency, and employee experience.
  • Responsible for the oversight of administrative and union employee information in Workday.
  • Partners with members of the Human Resources team regarding benefits, compensation and employment data.
  • Maintains electronic employee records database and responds to employee personnel records requests.
  • Assigns supervisors and subordinate departments to Workday organizational charts.
  • Completes regular Workday tasks including changing costing allocations.
  • Working with a multi-department team to develop and update the standard schedules for academic staff on an annual basis.
  • Performs audits of employee data.
  • Responsible for administering paid time off for administrative and union employees in Workday in accordance with internal policies and collective bargaining agreements.
  • Coordinates the time off functionality within Workday.
  • Serves as the primary contact for questions concerning vacation, vacation carryover, sick and personal time.
  • Calculates pay outs for terminating and retiring employees.
  • Partners with members of the HR team and LTS to design, test and launch new Workday applications and modules.
  • Provides input based on knowledge and understanding of the data flow of employee transactions.
  • Creates, adjusts and generates standard and ad-hoc reports including but not limited to census information, DOL required reports, ACA, union specific reports, casual wage monitoring, PTO accruals, OSHA, affirmative action, and IPEDS.
  • Ensure regulatory compliance with federal, state and local laws related to employment by staying current on any changes and by meeting reporting, communication and training requirements.
  • Manages vendor relationships and selection as needed.
  • Participates as an active member of the Human Resources team on departmental initiatives.
