Leave of Absence Specialist I Summary: The Leave of Absence (LOA) Specialist is responsible for the day to day administration of all company leaves of absence. Administers leaves in accordance with company policy and in compliance with FMLA, ADAAA, and any federal and state laws. Leave of Absence Specialist II Summary The Leave of Absence (LOA) Specialist is responsible for the day to day administration of all company leaves of absence. Administers leaves in accordance with company policy and in compliance with FMLA, ADAAA, and any federal and state laws.

Requirements

  • Basic understanding of state leave laws, FMLA, ADA and Worker’s Compensation laws.
  • Knowledge of compliance with documentation, tracking and determining FMLA eligibility.
  • Self-starter with strong work ethic and the ability to exercise good judgment.
  • Must be proactive, results oriented, and have attention to detail.
  • Ability to effectively prioritize and manage multiple tasks to meet targeted deadlines.
  • Good interpersonal skills with the ability to interact with personnel at all levels in a team environment.
  • Good verbal and written communication skills.
  • Demonstrated ability to resolve routine questions and/or issues as they arise.
  • High school diploma or GED is required.
  • Typically requires 1 or 2 years of related experience in Leave of Absence Administration.
  • Typically requires 3 - 4 years of related experience in Leave of Absence Administration with a working knowledge of all applicable FMLA, state leaves, ADAAA, and Worker's Compensation laws and compliance
  • Strong understanding of state leave laws, FMLA, ADAA, HIPAA, and Worker’s Compensation laws and how they impact employer leave of absences
  • Must have decision making ability in approving leaves
  • Knowledge of all applicable laws and compliance with documentation, tracking and determining FMLA eligibility
  • Must possess critical thinking, analytical and problem-solving skills

Responsibilities

  • Serves as first point of contact for supervisor and/or employee requesting or inquiring about a leave of absence; makes determination of the type of leave and sends the required documentation.
  • Responsible for determining eligibility for FMLA, state specific leaves, other company approved leaves of absence and appropriate disability program available if applicable.
  • Prepares, sends, and tracks all LOA paperwork required. Must comply with deadlines and FMLA rules/requirements when requesting data. Must send all required documentation and provide responses in a timely manner. Must make sure all paperwork has the required approvals, signatures, and is tracked and entered for audit purposes.
  • Manages employee’s leave of absence in HRIS Enterprise/payroll system, Time and Labor system and Occupational Health Management system.
  • Responsible for completing applicable state disability and/or paid family leave claims received.
  • Administers all aspects of the LOA between the employee and third party vendors.
  • Advises manager and HRBP on potential issues and resolutions.
  • Audits all LOA forms for signature, approvals, completions and payment information.
  • Keeps informed of state leave laws, FMLA, ADAAA, HIPAA, WC, and regulatory federal and state laws regarding leave of absence. Regularly attends industry seminars and training classes to stay current with changes and best practices.
  • Assists in updating LOA policies as necessary.
  • Ensures compliance with company policies and federal/state/local reporting requirements, including FMLA, state leaves, ADA, HIPAA and Workers Compensation compliance.
  • Works on assignments that are semi-routine in nature but recognizes the need for occasional deviation from accepted practice.
