About The Position

The Leave Manager oversees the day-to-day management of employee leaves of absence, accommodations, workers' compensation claims, and related OSHA compliance activities. This role serves as a key resource for employees, managers, and HR partners by providing guidance, coordinating documentation, maintaining accurate records, and ensuring leave-related processes are handled consistently and in accordance with applicable requirements.

Requirements

• 2–3 years of Human Resources experience, with experience in leave of absence management and/or workers' compensation administration.
• Understanding of leave of absence processes and the ability to stay current on applicable state and federal leave requirements and changing regulations.
• Strong organizational and computer skills with the ability to manage multiple cases, documentation, deadlines, records, and confidential employee information accurately.
• Empathy & Professionalism: You can support employees through sensitive situations with compassion, professionalism, and respect while maintaining appropriate boundaries.
• Attention to Detail: You understand that accurate documentation, deadlines, notifications, and recordkeeping are essential to effective leave and compliance management.
• Organization & Follow-Through: You can manage multiple leave cases, accommodations, claims, and compliance requirements while keeping each matter moving forward.
• Communication: You explain complex processes clearly and can communicate effectively with employees, managers, HR partners, insurance carriers, and other stakeholders.
• Confidentiality & Judgment: You handle sensitive employee information appropriately and use sound judgment when navigating complex or confidential situations.
• Problem-Solving & Adaptability: You can assess individual situations, identify next steps, navigate changing requirements, and find practical solutions while staying within established processes.

Nice To Haves

• Bachelor’s degree related to Human Resources (or equivalent combination of education and experience).
• PHR, SHRM-CP, or CHRS (Certified Human Resources Specialist).
• Experience in multi-state HR operations or human services environments.
• Completion of specialized certification or formal training in FMLA, leave administration, or related HR compliance areas is a strong plus.

Responsibilities

• Manage employee leave requests from initial intake through return to work, including reviewing documentation, supporting FMLA and other protected leave processes, explaining benefits and PTO usage, maintaining accurate records, and communicating timely updates to employees, managers, and HR partners.
• Coordinate accommodation requests by reviewing documentation, tracking physical requirements and restrictions, participating in interactive discussions as needed, and ensuring accommodation agreements and supporting documentation are completed and communicated appropriately.
• Manage workplace injury claims from initial reporting through resolution, ensuring timely communication with insurance carriers and internal stakeholders, accurate documentation, required reporting, claim tracking, and return-to-work/job modification strategies.
• Support OSHA compliance related to workplace injuries, bloodborne pathogen exposures, and communicable diseases. Coordinate required medical screenings, maintain exposure and incident documentation, and ensure OSHA-recordable incidents are properly tracked and reported.
• Serve as a knowledgeable resource for employees and managers by explaining leave and accommodation processes, providing guidance on required documentation, answering questions, and delivering training and support to promote consistent and compliant practices.
