The Leave Administrator is responsible for end-to-end administration of all team member leave programs. The role partners closely with the company’s third-party leave administrator to coordinate leave requests, verify documentation, and ensure compliance with federal, state, and local regulations as well as company policies. The Leave Administrator provides guidance and support to team members, leaders, HR partners, and external vendors to deliver a consistent, compliant, and positive leave experience.

Requirements

  • Bachelor’s degree in business, human resources, or a related field is required.
  • Five or more years of experience working in leave administration, human resources, benefit administration, or a combination of these fields.
  • Experience in leave of absence administration.
  • Knowledge of federal and state leave laws.
  • Excellent communication and customer service skills.
  • Ability to communicate clearly and effectively, both verbally and in writing, to develop and deliver information.
  • Ability to handle confidential information with discretion.
  • Strong organizational skills.
  • Problem-solving mindset and ability to navigate sensitive situations.
  • Ability to interpret complex policies.
  • Ability to collaborate and engage well with peers, managers, and team members at all levels in the organization.
  • Strong computer literacy, with expert proficiency in Microsoft Office.
  • High degree of professionalism and integrity.
  • Visual and hearing acuity.
  • Ability to move about the office on a regular basis to perform physical activities, such as, but not limited to, lifting items of up to 20lbs unassisted, bending, standing, climbing or walking.

Responsibilities

  • Manage the full lifecycle of leave of absence (LOA) programs, including FMLA, ADA accommodations, short-term and long-term disability, parental, adoption, military, and unpaid leave, and applicable state family leave programs.
  • Partner with the third-party leave administrator and internal teams (HR, Payroll, Benefits, Legal, and EHS) to discuss case activity, resolve issues, and ensure seamless administration.
  • Communicate leave determinations, requirements, timelines, and next steps clearly and professionally serving as a trusted resource for team members and leaders.
  • Handle complex and sensitive leave cases, including those involving overlapping programs (e.g., workers’ compensation, disability, and ADA accommodations), and escalate high-risk cases to management as appropriate.
  • Ensure benefit premiums are collected for team members on leave.
  • Lead regular LOA calls with location HR teams to review cases, address questions, and reinforce best practices.
  • Maintain accurate and complete leave records in the HRIS and optimize usage of system leave capabilities.
  • Ensure compliance with all applicable federal and state leave regulations and internal requirements; conduct audits and internal reviews of leave processes to identify risks and improvement opportunities.
  • Develop and deliver training on leave policies, procedures, and state-specific requirements.
  • Analyze leave trends, provide recommendations to leadership, and support ongoing development of leave programs aligned with the overall benefits strategy.
  • Assist with other benefits analysis and administration duties as required.
