About The Position

The Lease Administrator / Analyst 5 reviews and analyzes lease documentation, abstracts key financial and contractual information, and ensures all lease data and rent obligations are accurately maintained within internal and external systems. This role manages commercial lease administration software, coordinates tenant communications, and supports financial reconciliation and audit activities while working on multiple projects in a fast-paced environment with potential for long-term conversion.

Requirements

  • Experience in financial reconciliations, budget review, and audit processes.
  • Experience and competence utilizing bespoke software and platforms, including commercial lease administration applications.
  • Ability to work effectively in a fast-paced environment while handling multiple projects and tasks.
  • Ability to work independently while consistently meeting deadlines and critical date obligations.
  • Excellent ability to communicate clearly and effectively, both verbally and in writing.
  • Excellent ability to build trust and collaborative relationships among colleagues, service partners, and tenants.
  • Strong organizational skills with attention to detail and accuracy in records management.
  • Background in real estate, accounting, financial analysis, reconciliation, and lease-related analysis.
  • Bachelor's degree (required).

Responsibilities

  • Review lease-related documentation and abstract critical information, including rent and other financial obligations.
  • Track lease renewals, amendments, rent commencements, and new location launches to ensure timely and accurate updates.
  • Transmit leases and related documents into a commercial lease administration software application.
  • Manage and maintain the commercial lease administration software application to ensure data integrity and accessibility.
  • Conduct monthly review, auditing, and processing of leasing monetary and rent obligations in line with internal spend and transaction policies.
  • Create professional correspondence and manage tenant relationships, including rent modifications and other lease-related communications.
  • Serve as a primary contact for tenants and internal stakeholders on lease administration and rent-related topics.
  • Modify internal and external systems with up-to-date client and tenant information.
  • Establish and maintain accurate information for all new and current rent obligations within internal and external systems.
  • Coordinate records related to revenue and leasing activities, ensuring all documentation is organized and complete.
  • Field incoming calls from tenants and stakeholders and respond promptly with clear, accurate information.
  • Prepare and assemble letters and other written communications for tenants and internal teams.
  • Work on different types of projects and tasks concurrently, managing priorities and meeting all deadlines and critical date obligations.
  • Support financial reconciliation, budget review, and audit processes related to leasing and rent obligations.
