The Lease Administration Advisor is responsible for the lease administration functions to ensure compliance of lease terms, management of legal issues, and tracking financial obligations for all lease documents.

Requirements

  • At least 3-5 years of relevant experience in the commercial real estate lease administration industry and/or accounting and property management fields having worked in either (or both) the Landlord or Tenant sector.
  • Working experience with commercial real estate database applications such as MRI, Yardi, or other lease management database systems.
  • Independent, self-starter, team player, analytical and attention to detail.
  • Provides a high degree of professional customer service to both internal and external parties.
  • Excellent communications and organization, follow-through and follow-up, meet commitments and deadlines.

Responsibilities

  • Abstract or input tenants’ legal entity, lease terms, and recurring monthly rental obligations.
  • Coordinate with Property Managers the timely submission of tenant surrender forms and other lease updates prior to completing the monthly rent-up.
  • Process timely monthly rent roll charges for Property Manager review through SmartSheet Dynamic View software.
  • Prepare and review tenant charge batch adjustments for accuracy, which require verification against the lease language.
  • Maintain file systems in Microsoft SharePoint, including the data integrity of information contained in the Yardi software application used for tracking all Tenant and Lease related data. Maintain and update critical dates and lease terms within the approved software.
  • Refresh, brand, and organize accounting training materials that will be posted to Microsoft Teams.
  • Perform Yardi system maintenance within the commercial management module.
  • Provide general administrative support to the Lease Administration Advisory team.
