About The Position

Under the general supervision of the Learning and Development Director, the Administrative Assistant/Library Technician will provide administrative support to the Education, Recreation, and Language departments, as well as the Education/Recreation Committee as requested. He/she will maintain permanent and working files for use by the Education/Recreation Committee. The Administrative Assistant/Library Technician will write Library Service Plan applications for grants to the Institute of Museum and Library Services and manage the grant project funding. This role will also be responsible for planning programming that provides literacy development services to the community and will be responsible for all functions of the library to include working with staff members in a team capacity.

Requirements

  • High School Diploma or equivalent.
  • Proficiency in communication and computer skills to perform all the requisite functions of the position.
  • Must have the ability to timely complete tasks and projects with minimal direction.
  • Comply with established rules, regulations, departmental policies, and procedures.
  • Ability to work flexible hours, evenings, and weekends.
  • Willing to attend conferences/training, and continuing education courses.
  • Possess a valid California driver’s license and comply with the requirements of the Tribe’s driving policy and insurance requirements.

Nice To Haves

  • Three (3) to five (5) years’ administrative experience preferred.
  • Working knowledge of library science principles preferred.
  • Two (2) years of college in business, child development, and/or library science may be substituted for work experience.
  • Ability to connect and work individually or collectively with students k-6th grade.
  • Prefer knowledge of Me-Wuk Culture and Traditions.
  • Indian Preference: Preference in filling vacancies shall be given first to qualified Tuolumne Me-Wuk Community Council Members and then to enrolled Native Americans of any federally recognized tribe. Documentation for claiming preference must be provided with the application for consideration.

Responsibilities

  • Maintain and update inventory lists and supplies, ordering supplies as necessary.
  • Screen incoming correspondence such as mail for the managers and director as well as telephone calls for the Director of Learning and Development.
  • Assist in the coordination of Education Advisory Committee Meetings such as preparing minutes, documents required by the department as well as taking minutes in the meeting.
  • Assist in coordinating any travel arrangements for the departments to include the Youth Council.
  • Organize and keep track of permission slips and deadlines for field trips within the department.
  • Assist the managers and Director in coordinating training activities for the departments and creating the agenda for staff meetings.
  • Oversee the registration process and maintain the student Individual Progress Plan files and registration files for all students.
  • Coordinate and maintaining deadlines for calendars and newsletters from the department for approval and then distribution the newsletters and communication with parents and Tribal entities.
  • Work with the director to maintain accurate communication with families to include parent communication system, Facebook and any other communication source.
  • Oversee the Library system to ensure that new books are ordered and a system in place for accountability with the community in checking out books from the library.
  • Oversee the internal invoicing system and submit all entries to include extra-curricular and graduation incentives to the managers and then director for approval.
  • Oversee that attendance is updated and accurate.
  • Assist in departments with students in situations when staffing is down.
  • Perform other duties as assigned.
