Requirements

  • Bachelor’s degree or equivalent experience required.
  • 3 years of experience in an administrative role, preferably in the tech or automotive industry supporting executive leaders in a fast-paced environment.
  • Advanced proficiency in Google Suite and related apps; ability to quickly learn task-specific software and utilize AI for efficiency.
  • Strong problem-solving skills with the ability to operate independently.
  • Demonstrated ability to prioritize under pressure and anticipate last-minute changes.
  • Experience interacting with external stakeholders (e.g., Board of Directors, investors, or strategic partners).
  • Must be available to work onsite in Irvine, CA.

Responsibilities

  • Lead complex calendars for multiple leaders, Prioritize appointments, meetings, and travel arrangements with exceptional attention to detail.
  • Arrange complex domestic and international travel logistics, including flight accommodations, ground transportation, and detailed itineraries.
  • Enter and own all expense reporting using internal systems, ensuring accuracy and timely submission.
  • Support securing necessary signatures on legal, operational, and strategic documents. Organize and maintain highly confidential files and records.
  • Lead ad-hoc projects to support the team’s needs and maintain a strict level of confidentiality regarding corporate strategy and development information.
  • Act as a gatekeeper and liaison for the executives, effectively managing incoming and outgoing communications and drafting professional correspondence.
  • Work effectively with other administrative partners and departments to ensure seamless operational flow.
  • Foster strong professional relationships with internal stakeholders, board members, and external partners on behalf of the Executives this role supports.
