About The Position

Fanatics Collect is seeking a Lead, Vault Operations Associate to play a pivotal leadership role within the Operations Department. This individual will oversee day-to-day activities, drive process excellence, and serve as a key point of contact for cross-functional collaboration. The role is responsible for ensuring team execution, operational accuracy, and the integrity of all high-value collectible assets. As a senior member of the team, the Lead will set the standard for execution and quality, mentor team members, and help shape process improvements that scale with the business. This is a hands-on, detail-driven leadership role ideal for someone with a passion for collectibles, a deep understanding of process workflows, and a proven ability to lead in a fast-paced environment.

Requirements

1+ year of experience in operations, logistics, or inventory management (experience in collectibles or e-commerce strongly preferred).
Demonstrated leadership ability in a team setting, with experience training or mentoring others.
Strong organizational, analytical, and problem-solving skills.
Excellent verbal and written communication skills; able to communicate effectively across departments.
High attention to detail and ability to manage multiple priorities in a dynamic environment.
Proven reliability, discretion, and integrity in handling high-value or sensitive items.
Comfortable using inventory management systems and productivity tools (e.g., Google Workspace, Excel).
Physical ability to perform warehouse tasks, including standing, lifting, and reaching overhead.
Ability to work Swing Shift 2:30pm - 11:00pm pst. Monday - Friday

Responsibilities

Lead daily operations in your respective department; ensuring timely and accurate execution.
Coach and mentor Operations Associates to uphold high standards of safety, quality, and efficiency.
Conduct quality control checks across asset preparation, including image and video review for auction readiness.
Ensure accuracy in all areas and processes in the department.
Ensure team members are following standard operating procedures and best practices.
Act as a liaison with cross-functional teams (e.g., Imaging, Raw Card Ingestion, Auction, and Logistics) to align on priorities and resolve issues.
Manage and monitor orders/submissions, ensuring all packages are properly processed and documented within the target SLA.
Track and audit inventory, ensuring records are consistently updated and storage conditions meet quality standards.
Proactively identify and escalate discrepancies, rush orders, or exceptions and lead resolution efforts.
Support process improvements, training initiatives, and documentation to optimize operations as the team scales.
