About The Position

This role is for a Full-Time Lead Patient Coordinator at the Hackensack Riverside Office, responsible for assisting the General Manager in supervising front office operations and staff.

Requirements

  • Previous healthcare experience is required.
  • Must be computer savvy and familiar with Microsoft Word, Excel, and Outlook.
  • Strong communication, interpersonal, and organizational skills.
  • Excellent patient relation and customer services skills.
  • Must be a professional, reliable, and dedicated employee.
  • Must have strong critical thinking, problem resolution skills and be a great multitasker.
  • Open availability to work during weekdays and weekends.

Nice To Haves

  • 2 - 3 years of experience working in a dermatology/medical environment preferred.
  • Experience using EMR software and patient scheduling systems preferred.
  • Prefer prior experience working in a dermatology / medical environment.

Responsibilities

  • Promote a professional and welcoming atmosphere to enhance patient service and care.
  • Lead by example, maintaining office presence and professionalism.
  • Assist the General Manager with finding coverage for shifts due to call-outs, emergencies, or PTO.
  • Train and supervise all front office staff.
  • Ensure beginning and end-of-day checklists are completed and signed off daily.
  • Conduct weekly meetings with fellow Patient Coordinators.
  • Provide weekly feedback to the General Manager on employee progress and identify needs for re-training.
  • Oversee timely and correct performance of scheduling tasks by front office staff.
  • Ensure appropriate handling of all scheduling, cancellations, confirmations, and superbill entries.
  • Notify, document, and advise the General Manager of all personnel and patient complaints or issues.
  • Maintain a neat and orderly work area throughout the office.
  • Manage office equipment and office supply inventory, following bi-weekly ordering protocols.
  • Oversee the creation of new medical records for patients.
  • Obtain necessary copies of insurance cards, referrals, and demographic information.
  • Ensure staff correctly enters data into the system.
  • Maintain confidentiality of all patient and employee information.
  • Enforce CLIA, OSHA, and HIPAA regulations.
  • Audit Patient Coordinator checklists and ensure closing duties are performed correctly.
  • Oversee that cash deposits are secured appropriately.
  • Maintain thorough knowledge of all procedures performed at the offices.
  • Perform other duties as assigned by supervisor on an as-needed basis.
