Company: Prima Medical Foundation dba MarinHealth Medical Network Work Shift: 8 Hour (days) (United States of America) Scheduled Weekly Hours: 40 Job Description Summary: The Medical Assistant Lead is a critical part of the leadership team for the practice and coordinates with the Lead Front Office Coordinator, Specialty Leads (if any), and the Practice Leader to ensure the smooth running of the practice. The primary purpose of having a Lead Medical Assistant is to provide leadership as well as training within MA scope to the medical assisting team and coordinate the team to better serve both physicians and patients.

Requirements

  • High school diploma or General Education Degree (GED) required.
  • A Medical Assistant certification from an accredited program such as NHA and AMCA is required or other greater licensure.
  • BLS Certification (American Heart Association) required.
  • 5+ years of medical assisting experience, with progressive team leadership skills.
  • Demonstrated leadership skills; one-year supervisory experience preferred.
  • Demonstrated punctuality, reliability, and professionalism.
  • Demonstrated exceptional customer service skills.
  • Ability to multi-task.
  • Knowledge of medical terminology.
  • Demonstrated expertise in tactful and professional communication.
  • Experience with, and proficiency in, electronic medical records.
  • Use of APeX software a plus.

Responsibilities

  • Direct day-to-day supervision of the other members of the medical assisting team.
  • Training and teaching new skills to new or less experienced medical assistants, including new and annual competency sign-offs in collaboration with the Clinical Operations Team.
  • Becoming an APeX super user and assisting clinicians and other MAs in better-utilizing APeX.
  • Keeping abreast of new medications and supervising the MA who coordinates the medication prescription refill program.
  • Managing the MA to Physician assignments and changing the utilization of staff as needed to ensure appropriate coverage for all physicians in the office.
  • Managing “Flow issues” to solve patient and clinician log jams.
  • Assisting the Lead Front Office Coordinator in managing communications between the front and back office, with an emphasis in enhancing and improving communication as needed.
  • Developing a schedule for cleaning and stocking the rooms on a regular basis and assigning specific MAs to the rooms, then periodically checking the work.
  • Supervising medical assisting side work, developing a list of tasks to be completed, and checking it weekly to ensure the back office stays neat, tidy, and well-organized.
  • Working with the Practice Leader and clinicians to determine the equipment and supplies that should be in each room and developing a standard positioning for each item.
  • Ordering all of the medical supplies, vaccines, and injectables needed for the practice from approved vendors, ensuring a once-per-month ordering paradigm is developed and supplies are ordered to avoid stockouts.
  • Working with the Practice Leader on budget development and approval for new equipment or supplies when requested by a clinician.
  • Working with the Practice Leader in evaluating vendors and vendor pricing during contract renewal time.
  • Checking the emergency kit once per month to ensure there are no missing or expired meds or supplies.
  • Actively participating in the employee hiring, review and disciplinary process for medical assisting staff, providing feedback to physicians and the Practice Leader as needed.
  • Assisting other MAs by acting as a triage coordinator, helping them to better organize their time and learn how to better serve the clinician group.
  • Providing backup support for the medical assistant team, including all functions of a medical assistant.
  • Approving the PTO and timecards for the medical assistant staff, ensuring accurate reporting of time and attendance.
  • Perform all other duties as required or assigned.
  • This position may require working in multiple locations.
