This role is a Full-Time Lead Medical Assistant position at their Goshen and Monticello Offices. The Lead Medical Assistant will provide administrative support to Physicians, Physician Assistants, and Medical Assistants/LPNs through supervision and staff development, ensuring a professional and effective medical operation. Previous healthcare and dermatology experience are required.

Requirements

• Previous healthcare experience is required.
• Dermatology experience is required.
• 2 - 3 years of experience working in a dermatology/medical environment preferred.
• Experience using EMR software and patient scheduling systems preferred.
• Must be computer savvy and familiar with Microsoft Word, Excel, and Outlook.
• Strong communication, interpersonal, and organizational skills.
• Excellent patient relation and customer services skills.
• Must be a professional, reliable, and dedicated employee.
• Must have strong critical thinking, problem-resolution skills and be a great multitasker.
• Open availability to work during weekdays and weekends.

Responsibilities

• Promote a professional and welcoming atmosphere that enhances the quality of service and care offered to patients and for respective providers.
• Lead by example, maintain office presence and the highest level of professionalism.
• Maintain effective and constructive communication with office management to instill company values, vision, and protocols in all associated colleagues and providers.
• Have a thorough working knowledge of all standard operating protocols and policies pertaining to the clinical department.
• Have thorough knowledge of all clinical treatments to appropriately care for the patient’s needs.
• Be proficient in pre-care and post-care treatment instructions.
• Fully understand provider to patient flow and anticipate provider’s next steps.
• Assist the physician in medical, cosmetic, allergy, and/or laser procedures.
• Prep exam rooms for all procedures and properly clean exam rooms after every visit.
• Assist Office Management in successfully running the day-to-day clinical operations of their respective location by providing supervision and evaluation of day-to-day duties.
• Ensure that all assigned Medical Assistants/LPNs follow company policies and protocols, such as adhering to opening and closing checklists being accounted for daily and properly.
• On a daily basis, scan all consumables and retail products to assist Office Management with maintaining an adequate stock; when needed, properly place orders via expense protocol for consumables and retail products.
• Consistently maintain an adequate amount of medical supplies by executing weekly inventory counts, placing bi-weekly medical supply orders along with emergency orders as needed while always considering cost-saving measures.
• Ensure all medical equipment is being properly maintained, avoiding running out of key items, overspending, or waste.
• Properly assist the provider in recording prescribed treatments, medications, lab requisitions, biopsies, cultures, photos, prescriptions, prior authorizations, obtaining consents, and/or procedures within established guidelines.
• Work with Office Management to audit the consumable tracker and laser logs on a weekly basis.
• Responsible for auditing all specimen logbooks and lab trackers for respective location’s providers.
• Ensure all books are kept up to date and that every provider and MA follows proper protocol.
• Oversee and ensure all required medical forms (written and/or electronic) such as consents, EMR notes, lab results, etc., are organized and submitted with accurate data in a timely manner.
• Work closely with management to execute all new protocols and assist with training needs.
• Work with General/Regional/Clinical Managers to provide onboarding planning, training, and continued education to all new and current assigned Medical Support Staff.
• Work with MAs, LPNs, and MA Floaters to ensure all refill and prior authorization requests, in combination with To Do tasks requests, are handled in a timely fashion at respective locations.
• Assist office management in supervising/finding coverage for necessary shifts should there be a support staff call-out, emergency, or PTO taken; step in and cover shifts for any emergency needs.
• Must exude a strong understanding of and enforce CLIA, OSHA, and HIPAA regulations as well as report and help document any incidents to the respective office management.
• Properly cross-train to assist in covering the front desk during emergencies, as needed.
• Must be open to handling any other duties not mentioned above to ensure proper support to the respective office.
• Other duties as assigned by supervisor on an as-needed basis.
