About The Position

The Lead Certified Medical Assistant (CMA) is responsible for administering care management and coordinating patient activities. This role involves providing direct patient care, assisting providers with procedures, and offering technical support to the Practice Supervisor and Medical Director to effectively serve the patient panel and specialty care teams. The position operates in support of the University's and school's mission, adhering to all applicable policies and procedures. Under physician direction, the CMA may administer vaccinations and injections in limited circumstances as permitted by State Regulations.

Requirements

  • High school diploma or equivalent.
  • Completion of an accredited Medical Assistant program.
  • Certification from a recognized certifying body (e.g., AAMA, AMT, NHA, NCCT).
  • Applicants may be licensed in the State of New Jersey in another classification permitted by regulations to give intramuscular and subcutaneous injections.
  • Attained a satisfactory level of comprehension and experience in the administration of intramuscular and subcutaneous injection techniques.
  • Proficiency in phlebotomy techniques required.
  • Current Basic Life Support (BLS) certification.
  • Strong knowledge of medical terminology and procedures.
  • Proficiency in using electronic health records (EHR) systems.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and work efficiently in a fast-paced environment.
  • Compassionate and patient-focused attitude.

Nice To Haves

  • At least two years of previous experience working as a Medical Assistant in a clinical setting.
  • If in Pediatrics: knowledge of pediatric vaccine, knowledge of the vaccine schedule, experience of pediatric administration of vaccines, and pediatric triage preferred.
  • Familiarity with EPIC.

Responsibilities

  • Prepares exam room and sterilizes medical instruments and equipment for tests and procedures.
  • Prepares patients for visits, including rooming, taking history and chief complaint, and recording vitals (height, weight, temperature, blood pressure, pulse).
  • Performs diagnostic tests such as ECG, Blood work, Vision and hearing screening, Urine dip, and PFTs as per physician's standing orders.
  • Administers vaccines and intramuscular/subcutaneous injections under physician direction in limited circumstances, as delegated by State Regulations.
  • Notifies supervisor of the need to order clinical supplies, including injectables and vaccines.
  • Assists physicians and nurses during examinations and procedures.
  • Collects and prepares laboratory specimens for analysis.
  • Assists with minor surgical procedures and wound care.
  • Ensures patient's outside testing results are in the chart for physician review.
  • Documents clinical information in the chart or EMR system.
  • Provides clinical care in accordance with training and supervisor's direction, including laboratory tests, vision screening, audiograms, ECGs, phlebotomy and specimen processing, and allergy screening.
  • Maintains and cleans office medical equipment as required.
  • Serves as an on-site trainer for CMA staff members.
  • Serves as a back-up for the Practice Supervisor for core duties and responsibilities as needed.
  • Is knowledgeable of and initiates emergency procedures.
  • Participates in the department’s Performance Improvement activities.
  • Schedules patient appointments and manages patient flow.
  • Maintains accurate and up-to-date patient medical records.
  • Answers phone calls and addresses patient inquiries professionally.
  • Handles billing and coding for insurance purposes.
  • Verifies and updates patient demographics and insurance information in the billing system.
  • Verifies patient insurance through lists and/or insurance websites.
  • Collects appropriate co-pays from patients.
  • Completes batches as scheduled and prepares deposits.
  • Retrieves and enters referrals for appropriate visits into the billing system.
  • Ensures the cleanliness and organization of exam rooms and clinic areas.
  • Maintains inventory of front office supplies and notifies supervisor of reorder needs.
  • Signs in and out to the answering service daily as directed.
  • Arranges for patient care services at other facilities, including surgeries and pre-admission testing.
  • Obtains pre-authorizations and pre-certifications from patient insurers.
  • Coordinates prescription requests, provides charts to physicians, telephones prescriptions as directed, and documents in the patient chart.
  • Handles incoming and outgoing mail.
  • Pulls and prepares patient charts for the next day.
  • Opens and closes offices as assigned, and manages security system activation/deactivation.
  • Maintains a professional and orderly office appearance.
  • Treats others with compassion, dignity, and respect.
  • Maintains a customer-focused approach.
  • Attends all mandatory in-service and trainings.
  • Maintains competence in all applicable office computer systems.
  • Supports and adheres to University policies regarding HIPAA and confidentiality.
  • Assists with the orientation and training of new employees as requested.
  • Performs other duties as assigned.
