About The Position

The University of San Diego School of Law is seeking a Law School Faculty Assistant to provide general and academic administrative support to the law school faculty. This role involves a variety of tasks including research, administrative duties, and support for specific programs within the law school.

Requirements

  • High School Diploma or GED (General Education Diploma) required.
  • Two years of experience in a business office setting required.
  • Demonstrated skill in the use of PC systems to complete tasks, including word processing and spreadsheets.
  • Demonstrated knowledge, understanding, and ability to coordinate work within policies and procedures as they relate to a variety of administrative functions.

  • Bachelor’s degree preferred.
  • Previous experience in a law-related or educational environment preferred.

Responsibilities

  • Perform research using legal databases (Westlaw, Lexis-Nexis) and the internet.
  • Tabulate scores and grades for examinations using specific programs.
  • Post course documents and assignments to TWEN and/or Canvas sites.
  • Assist in maintaining and utilizing TWEN and Canvas sites.
  • Coordinate the submission and return of student assignments.
  • Type quizzes, midterms, final exams, and sample answers.
  • Proctor exams.
  • Review class syllabi, prepare attendance lists and seating charts, and ensure course materials are ordered.
  • Assist faculty in training and troubleshooting classroom technology.
  • Manage and schedule Zoom meetings.
  • Process expense reports, petty cash, and check requests; manage non-USD reimbursements, honorariums, etc.
  • Perform word processing of manuscripts, articles, and books.
  • Manage and maintain files.
  • Help faculty make travel arrangements.
  • Provide classroom and event support (e.g., food/catering, room reservations, guest parking validation).
  • Monitor individual faculty budget accounts.
  • Order textbooks and research books.
  • Coordinate print-shop requisitions for copies of class materials.
  • Type and proofread documents; prepare/share/edit documents using Google Suite, Microsoft Word, and Adobe Acrobat Pro.
  • Scan and photocopy documents.
  • Order supplies through online vendors.
  • Screen and answer phone calls, and schedule meetings/appointments.
  • Perform library and mail runs.
  • Shred outdated examinations and confidential information.
  • Support the hiring process for student assistants.
  • Provide administrative support for faculty committee meetings.
  • Assist with managing faculty calendars.
  • Maintain accurate data and manage database of judges for annual oral arguments.
  • Obtain local judges to participate in oral argument sessions.
  • Distribute case material to participants for oral arguments.
  • Create and manage the distribution of invitation emails.
  • Help coordinate logistics for first-year Practicum Course (EAP Program) break-out sessions.
  • Assist with grade tracking, recording, and score translating for EAP Program.
  • Assist with communications to adjuncts and students for EAP Program.
  • Plan and coordinate the end-of-year event for EAP Program students and faculty.
  • Reserve locations for mock trials for the Trial Advocacy Program.
  • Secure invoice payments and certificates of insurance for the Trial Advocacy Program.
  • Conduct communication outreach to local schools for student volunteers for the Trial Advocacy Program.
  • Email communication to confirm details and logistics for the Trial Advocacy Program.
  • Order food and supplies for the Trial Advocacy Program.
  • Create and send Certificates of Participation for the Trial Advocacy Program.
  • Mail copies of books, journals, and articles for scholarship promotion.
  • Send flyers and invitations to promote speaking events.
  • Design and purchase promotional postcards and mailing cards.
  • Assist with coordinating book sale events and communication with VIP guests.
  • Upload student data to Exam Software program for MBE (Multistate Bar Exam) Course Support.
  • Process invoices for NCBE Royalty Report for MBE Course Support.
  • Track student submissions (transcript, resume, letter of recommendations) for Externship Placement Course Support.
  • Handle daily mail room functions including sorting, distribution, and routing of incoming mail.
  • Update nameplates for faculty, staff, and administrators’ mailboxes.
  • Distribute UPS/Fed Ex/Airborne and other packages.
  • Monitor and replenish paper supply for copier, scanner, and fax machines in the mail room.
  • Update the Law School’s faculty directory.
  • Provide office coverage for other faculty support staff when necessary.
  • Perform other tasks as assigned by the Supervisor, Law School Faculty Support.
