About The Position

About Roebuck Law Firm Roebuck Law Firm is a growing plaintiff personal injury practice in Las Vegas with an expanding caseload across Nevada and California. The firm handles auto accidents, premises liability, and dog bite cases. We are looking for someone who wants to build something meaningful—not just fill a seat. The Role This is not a traditional office manager position. You will own the firm’s talent engine, operational systems, and performance infrastructure: recruiting, onboarding, offboarding, SOP development, Filevine system ownership, technology management, and KPI reporting. The firm has a separate Office Manager who handles day-to-day operations, team culture, and financial processing. Your role is focused on the systems, processes, technology, data, recruiting, and accountability infrastructure that allows the firm to operate efficiently and continue growing. The two roles complement each other but do not overlap. You report directly to the Managing Attorney. If you thrive on creating structure and organization, then you would thrive in this position. There is a clear growth path to Director of Operations as the firm continues to scale.

Requirements

  • 3+ years of operations, office management, HR, or recruiting experience in a law firm or professional services environment
  • Proven recruiting ownership—you ran the funnel, not just assisted
  • Experience managing people, including performance management and difficult conversations
  • Operational rigor: you build dashboards, documentation, and checklists and follow through
  • Tech-savvy and comfortable learning new platforms quickly—this role requires hands-on system management
  • Strong written and verbal communication skills
  • Proficiency with Microsoft 365 (Outlook, Word, Excel, Teams)
  • Based in Las Vegas and able to work on-site full-time

Nice To Haves

  • Experience with Filevine or similar legal case management software (Clio, Litify, SmartAdvocate)
  • Familiarity with plaintiff personal injury practice workflows
  • Experience with QuickBooks Online, Go High Level, or RingCentral
  • Knowledge of Nevada employment law and HR compliance
  • Background in a high-growth small business where you built systems from scratch

Responsibilities

  • Own the full-cycle recruiting process: job postings, sourcing, pipeline management, structured interviews, scorecards, reference checks, offers, and closing
  • Manage external recruiters, staffing agencies, and background check vendors
  • Maintain a live hiring dashboard and build a sustainable recruiting pipeline
  • Develop and manage an employee referral program
  • Design and maintain structured onboarding programs with measurable milestones for each role
  • Own the full employee lifecycle: role changes, promotions, performance actions, exit interviews, and documentation
  • Maintain offboarding processes including equipment return, system access removal, and compliance documentation
  • Conduct structured performance check-ins and maintain documentation
  • Support corrective action processes in coordination with HR counsel
  • Monitor case update cadence and flag communication gaps proactively
  • Create and maintain role scorecards and probationary review workflows
  • Build and maintain the firm’s SOP library with proper version control and publishing standards
  • Drive adoption through training sessions and compliance enforcement
  • Standardize core workflows across intake, case management, and client communication
  • Serve as the firm’s case management system owner: auditing, data hygiene, reporting, and optimization
  • Ensure integrations remain healthy across the firm’s technology stack
  • Coordinate technology rollouts and support AI tool adoption
  • Implement and enforce data standards across all firm platforms
  • Coordinate policy and handbook updates with HR counsel
  • Manage classification documentation, I-9 workflows, and record retention
  • Track and present operational KPIs weekly to the Managing Attorney
  • Deliver quarterly business reviews on hiring, retention, and process improvements
