About The Position

Pinehurst Landscapes is seeking a motivated Landscape Production Assistant to support the planning, scheduling, coordination, and execution of landscape construction, maintenance, and enhancement projects. This role involves close collaboration with the Production Team, Project Managers, Sales Team, Administrative Team, vendors, subcontractors, and field staff to ensure projects are properly prepared, staffed, supplied, and completed efficiently and professionally. This position is ideal for an individual looking to build a long-term career in the landscape industry, gaining exposure to all facets of the business. We are willing to train a candidate with a strong work ethic, positive attitude, organizational skills, and a willingness to learn. The ideal candidate is highly organized, detail-oriented, proactive, and can balance administrative duties with field support and operational coordination.

Requirements

Nice To Haves

  • Understanding of landscape construction methods, materials, equipment, and production processes preferred.
  • Experience with LMN or similar landscape management software preferred.
  • Experience or familiarity with IPM practices and pesticide applications preferred.
  • Maryland pesticide applicator certification or ability to obtain certification preferred.

Responsibilities

  • Ensure accuracy of job costing deliverables within LMN.
  • Review scheduled work orders to verify contracted scope and procure materials in advance of project start dates.
  • Coordinate procurement and delivery of job materials including plant material, pavers and natural stone, bulk organics and aggregates, irrigation and drainage materials, and additional landscape construction materials.
  • Organize and assist in mobilization of materials, tools, and equipment to job sites.
  • Ensure Production Teams have the necessary tools, equipment, training, and resources to meet production goals, schedules, and quality standards.
  • Work in the field alongside crew members as needed to support production operations and ensure successful project execution.
  • Assist with Integrated Pest Management (IPM) monitoring and pesticide applications in support of landscape maintenance projects, in accordance with company standards and all applicable regulations.
  • Perform End-of-Day check-ins with Supervisors and Foremen to verify job progress, production pacing, labor performance, material needs, and schedule adherence.
  • Update production schedules daily to reflect current project statuses and changes.
  • Assist in tracking job progress, labor hours, and production efficiency.
  • Participate in Weekly Production & Scheduling Meetings by providing updates, feedback, and operational insight regarding past, current, and upcoming work.
  • Help ensure projects are properly scheduled and set up for success.
  • Work closely with Sales and Administrative Teams to support smooth project turnover, scheduling coordination, job tracking, purchasing, billing support, and client communication.
  • Serve as a resource to the Design/Sales Team to assist in developing complete, accurate, and sellable estimates.
  • Coordinate and supervise subcontractors to ensure work is performed professionally, safely, efficiently, and according to company standards.
  • Develop and maintain professional working relationships with clients, managers, employees, vendors, and subcontractors.
  • Assist leadership with Production Team performance reviews and employee development.
  • Work alongside the General Manager and Operations Team to help achieve annual production and revenue goals.
  • Identify operational inefficiencies and contribute ideas for continuous improvement.
