NAC is currently seeking a full-time Labour Administrator, initially based on our Dalewood Water Reclamation Facility project in St. Thomas, ON. Position Summary: The Labour Administrator supports day–to–day workforce operations on construction projects by managing hourly employee timecards, coordinating housing and utilities for project-based crews, conducting first–level interviews, and facilitating new–hire orientation. This role reports directly to the Project Manager with a strong matrix partnership with Corporate HR, ensuring alignment with company policies, workforce standards, and compliance requirements. The position requires a detail–driven administrator who can collaborate effectively with both field operations and centralized HR teams.

Requirements

  • 2–4 years of administrative experience, ideally in construction or project-based environments.
  • Strong understanding of hourly labour processes, timekeeping, or payroll support.
  • Excellent communication and coordination skills.
  • Proficiency with Microsoft Office and timekeeping systems.
  • Strong organizational skills and ability to manage multiple priorities.
  • Ability to maintain confidentiality and handle sensitive information.

Responsibilities

  • Collect, review, and verify hourly employee timecards for accuracy, completeness, and compliance with company policies and labour regulations.
  • Enter and maintain timekeeping data in internal systems; follow up with supervisors to resolve discrepancies.
  • Track overtime, shift differentials, per diems, and project specific pay requirements.
  • Coordinate employee housing assignments, move ins, move outs, and room changes.
  • Manage utilities setup, payments, and service continuity for company-provided accommodations.
  • Maintain housing rosters, policy and agreement documentation, and cost tracking.
  • Serve as the primary contact for housing-related issues and escalate maintenance needs
  • Coordinate and facilitate new hire orientation for project-based labour, including safety briefings, policy reviews, and site-specific requirements.
  • Prepare orientation materials, packets, and documentation.
  • Collect and verify required onboarding documents (IDs, certifications, forms).
  • Issue company property and ensure new employees are properly registered in internal systems.
  • Communicate orientation schedules and attendance to site leadership and Corporate HR.
  • Maintain daily communication with site superintendents, foremen, and project managers regarding labour needs and workforce changes.
  • Prepare administrative reports, spreadsheets, and workforce summaries.
  • Support general site administration as required.
  • Conduct first level interviews for on-site labour roles.
  • Coordinate interview scheduling with hiring managers and site leadership.
  • Assist with reference checks and new hire documentation.
  • Partner closely with Corporate HR on hiring processes, onboarding compliance, and workforce documentation.
  • Ensure project-level practices align with corporate policies, employment standards, and regulatory requirements.
  • Liaison with Corporate HR with timely updates on staffing changes, employee issues, and project workforce trends.
  • Support corporate audits, reporting requests, and policy implementation at the project level.
