About The Position

The University of Kansas Health System Laboratory Phlebotomy Supervisor is a position within the Pathology and Laboratory Medicine Department that is responsible for directing and leading a team of phlebotomists, technicians and Coordinators in the Phlebotomy Department. The Laboratory Outpatient or Inpatient Phlebotomy Department is responsible for ensuring proper patient identification and collecting clinical specimens on inpatients or outpatients and submitting to the laboratory for testing. The phlebotomist's duties may include aliquoting urine, processing specimens and batching for transport and preparation for the automation line. The Supervisor will work closely with Health System laboratory leadership in all departments, especially Specimen Processing. The Laboratory Phlebotomy Department Supervisor must emulate The University of Kansas Health System Values and demonstrate a positive professional demeanor which is projected through verbal and non-verbal communication. This position is responsible for leading the team and demonstrating timely delivery of information to patients, providers, and clinics and specimens to testing departments and/or referral labs. This position will manage the Inpatient or Outpatient Phlebotomy Team and support internal and external customers. This position will participate in departmental Quality and Performance initiatives and customer satisfaction metrics.

Requirements

  • Bachelor of Science
  • High School Graduate
  • 2 or more years experience as a phlebotomist
  • 1 or more years leadership experience in a certified laboratory/patient service center
  • Phlebotomy Technician (PBT) - American Society for Clinical Pathology Board of Certification (ASCP) within 1 Year
  • skilled in Microsoft Office

Responsibilities

  • Leads the team that is responsible for working with laboratory and health system staff.
  • Manages the schedule for staff working in the department to ensure appropriate coverage for hours of operation and minimizing patient wait time.
  • Creates standardized training documents for staff and Standard Operating Procedures (SOPs) that are immediately available for staff on all shifts.
  • Creates an environment of respect and teamwork and holds individual staff accountable for adhering to department training documents, SOPs, and professional interactions among team members.
  • Identifies performance goals for staff and provides guidance and coaching.
  • Provides communication and training for updates in work processes and ensures standardized workflows between shifts.
  • Ensures staff communication is current and relevant to lab staff either by daily Huddles, Virtual Huddles, meetings or weekly newsletters.
  • Implements LEAN workflows that ensure best outcome with minimal specimen handling and elimination of error.
  • Ensures that LEAN workflows are standardized among all staff and shifts.
  • Establishes appropriate metrics for processes and reports to Lab Quality about Pre-Analytical operations.
  • Ensures phlebotomy areas/clinics are inspection ready at all times.
  • Compliant with HIPAA policies and regulations.
  • Instructs and guides staff on privacy rules.
  • Serves as a resource to the team as well as to clients and providers regarding test requirements, specimen submission, reporting and specimen preparation for transport.
  • Assist with communication to providers/clients, in a timely manner, if test results are going to be delayed or testing is unable to be performed.
  • Communicates with provider/clinic if testing is cancelled, in accordance with departmental policy, in a timely manner.
  • Contact providers/clinics in a timely manner to obtain any missing required requisition or specimen information that does not require recollection of the specimen.
  • Understands when a problem needs to be escalated to laboratory leadership, Manager, Assistant Director, or Director.
  • Relays requests for faxed lab reports to Customer Care Agents during normal business hours.
  • Works with other members of laboratory leadership to problem solve a patient collection or specimen workflow issue.
  • Handles complaints about phlebotomy service and excels at Service Recovery.
  • Manages or delegates phlebotomy training for students.
  • Manages or delegates requests for lab supplies for shipment or provides ordering information for client.
  • Provides training for handling phone conversations with an angry patient, provider or clinic.
  • Provides training for staff to understand when to escalate the problem to the Supervisor or other member of Laboratory Leadership team.
  • Works closely with Laboratory Customer Care agents to ensure the customer has a positive experience.
  • Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.
