We're looking for a proactive, detail-oriented Key Account Specialist to support our key accounts and sales operations team. This role is essential to ensuring accurate data, smooth account execution, and successful product launches while anticipating needs and resolving issues before they arise.

Requirements

  • Bachelor's degree in Business Administration, Marketing, or a related field preferred.
  • Proven experience in administrative or operations roles, ideally within account management, sales support, or customer service.
  • Strong organizational skills with a focus on maintaining accuracy and efficiency in administrative tasks.
  • Strong proficiency in Microsoft Excel and the Microsoft Office Suite, including data analysis, reporting, and document preparation.
  • Strong communication skills, with the ability to work collaboratively with cross-functional teams and clients.
  • Attention to detail and ability to manage multiple tasks and deadlines.
  • Highly organized with an ability to manage data, reports, and communication processes.
  • Strong problem-solving skills with a focus on optimizing operational workflows.
  • Ability to work independently while maintaining collaborative relationships with team members.
  • Adaptable to changing priorities, market conditions, and client needs in a fast paced environment.
  • Proactive, solutions-oriented mindset, with the ability to anticipate needs and take initiative in improving account support and operational processes.

Responsibilities

  • Account Administration & Operational Support Serve as a primary point of contact for key accounts, managing customer product portals and ensuring accuracy of data, product listings, and pricing.
  • Proactively monitor account portals and data to identify discrepancies, upcoming needs, or opportunities for improvement before issues arise.
  • Handle administrative tasks such as mailings and documentation to ensure timely distribution of materials to clients and internal teams.
  • Anticipate and support key account requests, tracking activity and following up to ensure timely and effective resolution.
  • Work closely with the direct sales force (US/UK) to execute promotional programs for key accounts, while proactively tracking progress.
  • Coordinating follow-ups on key account meetings and new product initiatives, and delivering clear, professional communication with exceptional written and verbal skills.
  • Sales Reporting & Analysis Assist with the generation of weekly and monthly sales reports, proactively identifying trends, gaps, or anomalies in account performance.
  • Collaborate with the Sales Operations Manager by providing insights and data to support decision-making and performance tracking.
  • Prepare sales performance metrics, forecasts, and ad hoc reports, offering proactive recommendations based on findings when appropriate.
  • New Product Launch & Item Introduction Support communication of new product launches and item introductions to key accounts, ensuring timely and clear information sharing.
  • Proactively coordinate follow-ups to confirm execution, address questions, and resolve issues ahead of launch deadlines.
  • Maintain ongoing communication with accounts to ensure new products are smoothly and successfully integrated.
  • Internal Collaboration & Communication: Work closely with cross-functional teams (sales, marketing, logistics, operations, warehousing, etc.) to ensure efficient account management and timely processing of orders or requests.
  • Communicate client requirements and feedback to internal departments to improve processes and ensure client satisfaction.
  • Assist in maintaining clear documentation and communication across departments to support account strategies and operational goals.
  • Process Improvement & Efficiency Proactively identify opportunities to streamline processes, improve workflows, and enhance service delivery.
  • Support enhancements to internal tools and systems by providing feedback and recommendations based on day-to-day use.
  • Regularly review operational workflows to improve efficiency, data accuracy, and reporting consistency.
