About The Position

The Justice Court Manager Assistant will be responsible for assisting with the daily functions of the Justice of the Peace – Pct #’s (1-8), including supervising the daily operations of the department and overseeing the quality of the work completed. This role ensures compliance with all statutes, rules, court orders, departmental, and court policies. The Assistant Manager will train clerks, schedule work assignments, handle difficult problems, monitor and report on departmental resources, and evaluate staff performance. They will also assist in researching and implementing new programs and procedures, and assume the duties of the Justice Courts Manager in their absence.

Requirements

  • Associate’s degree or equivalent.
  • Four (4) years of experience in a legal/judicial setting (i.e. law office, court or legal department of a business).
  • May consider four (4) years of office experience.
  • Additional years of education will substitute for required years of experience on a year-for-year basis.
  • Excellent customer service and communication skills, both verbal and written.
  • Ability to work in a fast-paced environment.
  • Must be able to stay organized and know how to prioritize the workload.
  • Ability to work independently and as part of a team.
  • Competency with computers and Microsoft Office 365 Suite.
  • Advanced analytical skills.
  • Must be bondable and a Notary Public if required by Judge.
  • Must attend continuing education seminars and training as required by Judge.
  • Must obtain Court Personnel Certification within two (2) years of employment.
  • May consider accredited legal training program, school, or university in lieu of Court Personnel Certification.
  • Must have strong oral and written communication skills and advanced technological experience.
  • Must be able to multi-task in a fast-paced and high stress environment.
  • Must be able to perform complex clerical duties related to trial docket efficiency.

Nice To Haves

  • Master Court Certification within two (2) years of employment is preferred.

Responsibilities

  • Supervises, trains, monitors, and evaluates clerk performance, identifying strengths and weaknesses and reporting these to the Court Manager.
  • Manages personnel resources by assisting with interviewing and screening of new applicants and making recommendations for hiring, promotions, demotions, and terminations.
  • Plans and assigns daily workload.
  • Provides daily or frequent reports to the Court Manager.
  • Acts as the first level resource for staff questions regarding customer issues, policies, etc.
  • Assists Court Manager in coordinating with other departments to expedite work and improve performance.
  • Performs quality checks of department staff work and makes corrections as necessary.
  • Recommends policies and procedures to the Court Manager and enforces procedures to expedite and improve processes.
  • Participates in personnel matters including disciplinary actions and the resolution of departmental disputes.
  • Conducts meetings with management.
  • Prepares and presents informational presentations for staff meetings.
  • Prepares requisitions for supplies.
  • Coordinates equipment maintenance and service calls.
  • Assists Court Manager with the compilation of statistical data used for determining future budget needs.
  • Assists management with reviewing and tracking legislative bills to determine the impact on the Justice Court’s Office.
  • Assists management with monitoring monetary transactions and procedures performed by other clerks to ensure compliance with Justice Courts and County Auditor policies.
  • Ensures that daily deposits are retrieved by armored car service.
  • Routinely answers customer questions and provides case information to attorneys and the public.
  • Explains and applies complex legal procedural information as it relates to filing requirements and compliance with court orders and policies.
  • Attends court hearings and trials to assist Judge, process court evidence and exhibits by inputting data into the court management system, and draft judgments as trials are being conducted.
  • Responsible for efficient docket and trial management for civil, criminal, and administrative cases.
  • Monitors compliance of legal notices and demands related to eviction appeals for non-payment of rent cases.
  • Monitors records retention in compliance with County procedures and State laws, providing for the efficient retrieval, delivery, and refile cycle of all closed files.
  • Prepares reports, correspondence, and legal documents drawing from a variety of sources within and outside the department including citations, letters, orders, motions, warrants, appeals, bonds, hearings, arraignments, and abstract of judgments.
  • Adheres to all requirements and timeframes as directed by law, policies, and procedures.
  • Assumes all duties of the Justice Courts Manager in their absence, including processing all financial transactions and adjustments and preparing and completing monthly Auditor reports.
  • Assumes all duties of an Administrative Court Clerk when needed, including processing, inputting, and recording new case filings, subsequent filings, and filing fees into the case management system.
  • Performs all other duties involved in the operation of the business as assigned or required.
