About The Position

This role is responsible for managing projects from the sales phase through to completion. The Junior Project Manager will be involved in planning, execution, and closing of projects, ensuring deliverables are met, documentation is complete, and client relationships are maintained. This position requires strong organizational skills, attention to detail, and the ability to coordinate with various internal teams, clients, sub-contractors, and vendors.

Requirements

  • Proficiency in Microsoft Project for schedule creation and management.
  • Proficiency in Visio for creating drawings and documentation.
  • Ability to develop a Responsibility Assignment Matrix (RACI matrix).
  • Experience in coordinating drawing reviews and approvals.
  • Skills in developing hardware Factory Acceptance Test (FAT) procedures.
  • Experience in managing change orders and quotations.
  • Ability to track orders and consult on payment schedules.
  • Strong skills in maintaining and updating project schedules.
  • Ability to ensure team alignment and documentation accuracy.
  • Experience in deliverable, hardware, time, and cost management.
  • Skills in resolving, tracing, and escalating critical issues.
  • Excellent communication skills for interacting with clients, sub-contractors, and vendors.
  • Ability to report on project progress to management.
  • Experience in coordinating personnel allocation for projects.
  • Ability to ensure project deliverables are met.
  • Skills in confirming documentation completeness and backup.
  • Experience in ensuring invoices are issued and paid.
  • Ability to document lessons learned.
  • Experience in closing projects in time accounting systems.
  • Ability to conduct project closing surveys.

  • Experience in the sales to execution phase hand-off process.
  • Familiarity with system architecture drawings, server cabinet drawings, and cable schedules.

Responsibilities

  • Participate in internal hand-off from sales phase to execution phase.
  • Develop list of hand-off deliverables from sales team to execution team.
  • Create project schedule using Microsoft Project, encompassing tracking of total project deliverables including hardware and services key dates.
  • Define and prepare project responsibility assignment matrix (RACI matrix).
  • Lead conference calls and project meetings.
  • Provide meeting minutes and recap emails.
  • Coordinate cabinet drawing review and approval.
  • Responsible for necessary drawings/documentation (system architecture drawings, server cabinet drawings, cable schedule) using Visio.
  • Assist in developing hardware FAT procedures.
  • Work with sales personnel to provide change order quotations.
  • Consult with sales personnel to place and track orders.
  • Consult with sales and services departments on project payment schedule.
  • Maintain and update project schedule.
  • Ensure team members are aligned and have up-to-date documentation.
  • Manage deliverables, hardware, time, and costs.
  • Resolve, trace, and escalate critical issues to minimize project risk.
  • Communicate with clients, sub-contractors, and vendors to establish effective working relationships.
  • Report on project progress and communicate relevant information to superiors and company management.
  • Work with Service and Project groups to ensure personnel allocation aligns with project schedule and tasks.
  • Ensure all project deliverables have been provided.
  • Confirm all documentation is complete and backed up on the server (Post FAT documentation, Panel Documentation, etc.).
  • Ensure all invoices are issued and paid.
  • Document lessons learned and report to upper management.
  • Close project in time accounting.
  • Conduct Project Closing Surveys.
