About The Position

Performs a variety of routine administrative and clerical duties pertaining to justice court proceedings. This role involves preparing case filings, disposition reports, and maintaining communication with various criminal justice agencies. The Judicial Assistant I will also be responsible for producing legal documents, handling cash transactions, administering oaths, managing exhibits, and assisting the public with court procedures and schedules. Additionally, the position involves preparing warrants, entering case information into computer systems, and managing electronic communications.

Requirements

  • High school diploma or equivalent with academic background in general office practices.
  • Two (2) or more years of general office experience providing exposure to routine administrative and clerical duties and responsibilities, or an equivalent combination of education and experience.
  • Ability to type 45 wpm.
  • Knowledge of basic trial process and court administrative procedures.
  • Knowledge of telephone etiquette.
  • Ability to create and maintain accurate records and follow record retention schedules.
  • Ability to communicate effectively both orally and in writing.
  • Ability to use independent judgment.
  • Ability to establish and maintain an effective working relationship with employees, attorneys, representatives of allied agencies and the public.
  • Ability to follow written and oral instructions.
  • Ability to maintain professionalism in the courtroom at all times.
  • Must possess and maintain a valid Utah State driver’s license with periodic verifications by the City.
  • Must pass random background checks to maintain UCJIS access.
  • Must comply with continuing education requirements.

  • Extensive skill in word processing and computer programs such as CORIS, Workspace, and UCJIS preferred but not necessary.

Responsibilities

  • Prepares case filings, case disposition, and other related reports.
  • Maintains liaison and communications with agencies associated with the criminal justice system.
  • Researches source documents for relevant data to produce legal papers and court documents.
  • Types various reports, memoranda, forms, abstracts, appeals, and other court documents.
  • Performs various in-court duties under close supervision.
  • Makes minute entries.
  • Handles cash, including receipting, giving change, and creating trust accounts.
  • Opens and closes the court as required.
  • Administers oath to witnesses and jurors.
  • Marks, handles, and is responsible for keeping and releasing of exhibits.
  • Arranges for interpreters and for video in custody hearings.
  • Receives and dockets notices of appeal.
  • Balances, verifies, and prepares daily deposits.
  • Types or prepares a variety of court records, including bench warrants, commitment and release orders, orders to show cause, defaults, motions, judgments, court minutes, and all other orders of the court.
  • Receives, logs, and files incoming citations and complaints.
  • Maintains cross-reference recovery system.
  • Opens mail, sorts and processes.
  • Determines fines based on fine schedule or bail if plea is not guilty.
  • Attaches appearance by mail to citation.
  • Keeps track of payments made through the mail.
  • Receives and processes requests for small claims proceedings.
  • Prepares affidavits and orders for small claims.
  • Explains procedures, sets hearings, collects fees, and initiates docketing for small claims.
  • Receives telephone calls and refers to the appropriate person.
  • Answers questions about trial or hearing schedules.
  • Assists the public in resolving questions regarding various civil and criminal processes and papers.
  • Provides information about court procedures and schedules.
  • Sets appointments.
  • Prepares arrest and bench warrants.
  • Types warrant information, order to show cause, failure to appear and refers to Judge for signature.
  • Sends copy of warrants to law enforcement.
  • Notifies county or other jurisdiction if someone is arrested.
  • Enters case information into the computer.
  • Maintains tickler files to monitor payments, probation end dates, etc.
  • Creates Webex links for calendars for court.
  • Receives and logs emails from agencies and defendants, then processes and forwards as needed.
  • Performs other duties as assigned or required.
