The Role As Jr. Facilities Administrator, you’ll provide essential, day-to-day operational support for the Deckers Brands HOKA Headquarters in Portland. You’ll help ensure the workplace operates efficiently, professionally, and at a high standard of service. In addition to managing front desk operations, you’ll play a key role in maintaining a welcoming, organized, and functional office environment for both employees and visitors. Requirements

  • 1+ years of reception and/or facilities operations experience
  • Possess basic knowledge of Oracle/Esker for vendor and PO management and MS Office Suite, especially Excel

Responsibilities

  • Assist the Assistant Manager and team leaders with general office operations
  • Order and organize office supplies
  • Maintain up-to-date record management for office requirements such as parking, PO tracking, and signed waivers
  • Ensure office compliance with OSHA requirements
  • Greet and welcome visitors with a positive, professional attitude
  • Treat every employee and guest with kindness and respect
  • Welcome visiting vendors and manage sign-in with Greetly
  • Partner with building security to maintain a safe workplace
  • Provide administrative support as needed
  • Manage POs in Oracle and Esker
  • Update org charts in Lucid Charts
  • Order and set up coffee and snacks
  • Communicate with cross-functional partners both internally and externally
  • Daily email communication with internal and external stakeholders
  • Communicate office-wide announcements
  • Use ticketing system with building management and internal IT
  • Support light event planning and execution (rare evenings)
  • Assist with large-scale meetings such as GTM, Sales, and SMS review
  • Help coordinate office-wide events including holiday parties, Lunar NY, and Black History Month
  • Coordinate “Art of Kindness” volunteer activities
