About The Position

Alstar Group of Companies Ltd. is seeking a highly organized and detail-oriented Job Instructions Administrator for their Calgary Shop. This role is responsible for managing the end-to-end administrative lifecycle of the TWI (Training Within Industry) Job Instruction (JI) program. The administrator will enhance trainer and facilitator effectiveness by maintaining comprehensive documentation, tracking, and reporting. They will also oversee the TWI Library, Work Instruction (WI) and Job Instruction Breakdown (JIB) databases, ensuring integrity, security, and version control of all knowledge assets. The position requires adherence to established formatting and document control standards for all technical submissions, including performing final Quality Control (QC) audits. Additionally, the administrator will facilitate the revision lifecycle, manage the Corporate Training Matrix, update Competency forms, maintain trainer and leader directories, conduct shop visits, and track improvement recommendations.

Requirements

  • 3 years of administrative experience
  • Advanced skills in GembaDocs, Scribe, and Google Workspace
  • Demonstrated ability to develop and assist in the building and alignment of new processes
  • Proficient in typing at 50+ WPM
  • Excels in organizational awareness, communication, accountability, and continuous improvement
  • Strong problem-solving abilities to identify and resolve challenges efficiently
  • Highly organized, self-motivated, and able to manage multiple priorities
  • Builds strong working relationships and contributes positively to team efforts
  • Exceptional attention to detail, ensuring accuracy and quality in all tasks
  • Delivers approachable, high-quality service

Responsibilities

  • Manages the end-to-end administrative lifecycle of the TWI (Training Within Industry) Job Instruction (JI) program
  • Enhances trainer and facilitator effectiveness by maintaining comprehensive documentation, tracking, and reporting
  • Oversees the TWI Library to maintain integrity, security, and version control of all knowledge assets
  • Oversees Work Instruction (WI) and Job Instruction Breakdown (JIB) databases
  • Ensures all technical submissions adhere to established formatting and document control standards
  • Performs final Quality Control (QC) audits on all documentation prior to release
  • Facilitates the revision lifecycle with the CWD Trainer, managing transitions from established processes to formalized Work Instructions
  • Manages the Corporate Training Matrix, maintaining accurate training records, schedules, and sign-offs
  • Updates Competency forms as needed and coordinates approvals
  • Maintains verified trainer and leader directories to ensure targeted and efficient stakeholder communication
  • Conducts shop visits to support trainers
  • Tracks improvement recommendations and oversees their successful execution
