About The Position

The IT Operations Coordinator is responsible for the day-to-day execution of technology operations, with a focus on vendor management, cost control, invoice auditing, budgeting support, mobile device administration, and internal technology support. This is a hands-on, execution-oriented role that serves as the primary point of contact for IT vendors, service providers, mobility carriers, and internal users. The coordinator helps ensure technology services are delivered effectively, costs are monitored and controlled, and mobile devices and assets are properly managed across the organization. The role also plays an active part in maintaining and expanding the company’s internal process library and collecting user feedback on technology tools and services.

Requirements

  • Experience in IT coordination, vendor management, procurement, telecom/mobility administration, or technology operations
  • Experience reviewing invoices, tracking expenses, and supporting budget management
  • Familiarity with mobile devices, wireless carrier accounts, and device lifecycle administration
  • Strong organizational skills and attention to detail with the ability to manage multiple priorities
  • Strong written and verbal communication skills
  • Practical, hands-on approach with a willingness to own day-to-day operational work
  • General tech-savviness; ability to learn new platforms, tools, and systems with minimal hand-holding
  • Comfort using AI tools and productivity technology in day-to-day work
  • Strong interpersonal skills; comfortable building relationships with vendors, internal users, and cross-functional teams

Nice To Haves

  • Associate’s or bachelor’s degree in Information Technology, Business, Operations, or related field, or equivalent experience
  • Experience with mobile device management (MDM) platforms
  • Experience working with telecom carriers and business mobility accounts
  • Experience maintaining inventory and asset records
  • Familiarity with IT purchasing, licensing, renewals, and contract tracking
  • Experience supporting small to mid-sized business IT operations
  • Experience with fleet or field technology platforms (e.g., Samsara or similar)
  • Familiarity with Power Platform tools (Power Apps, Power Automate) is a plus but not required

Responsibilities

  • Vendor & Contract Management Serve as the primary day-to-day coordinator for IT vendors, service providers, software providers, and mobility carriers
  • Manage vendor relationships including communication, issue follow-up, service requests, renewals, and general accountability
  • Maintain records of IT contracts, subscriptions, licenses, renewals, and vendor agreements
  • Track technology department contract expirations and upcoming renewals, proactively flagging deadlines to appropriate stakeholders
  • Administer the company DocuSign account, including user access management, routing executed contracts, and maintaining an organized contract repository
  • Coordinate contract execution through DocuSign; this role does not draft or review contract language
  • Assist with purchasing and procurement of hardware, software, mobile devices, and technology services
  • Invoice Auditing & Budget Support Review, audit, and track IT-related invoices for accuracy, contract alignment, and proper coding
  • Help develop, monitor, and maintain the IT budget, including tracking recurring costs, identifying savings opportunities, and supporting annual planning
  • Help ensure technology assets, subscriptions, and services are organized, documented, and cost-effective
  • Mobile Device & Carrier Administration Manage company mobility accounts including carrier plans, account changes, upgrades, billing issues, and usage oversight
  • Oversee mobile device management (MDM) activities including device provisioning, deployment, inventory tracking, replacements, and decommissions
  • Coordinate mobile device setup and ongoing administration, including enrollment, policies, and user support
  • Maintain accurate inventory of company-issued devices including phones, tablets, hotspots, and related accessories
  • Administer and support E-SIM deployments and related company phone policy changes
  • New User Setup & Application Access Serve as the IT coordination point for new employee onboarding, working from HR-provided inputs to identify required application access, user roles, and system assignments
  • Communicate new user setup requirements to the managed service provider (MSP), including account creation requests and role-based access needs
  • Manage application-level provisioning for new users across company platforms, including adding users, assigning roles, and confirming access is correctly configured
  • Coordinate offboarding activities including communicating deprovisioning requests to the MSP and removing access across applications
  • Maintain accurate records of user access, application assignments, and role changes
  • Fleet & Field Technology Administration Administer Samsara fleet management platform, including device setup, account management, user provisioning, and ongoing support
  • Create and manage geofences within Samsara, working with operations stakeholders to define boundaries and alert configurations
  • Serve as the internal point of contact for Samsara-related issues and coordinate with the vendor as needed
  • Internal User Support & Issue Coordination Act as the primary point of contact for internal users experiencing phone and laptop issues
  • Coordinate issue resolution with vendors and service providers, ensuring follow-through to completion
  • Support IT-related audits, reporting, documentation, and administrative processes
  • Assist in tracking compliance with internal standards for device usage, purchasing, and vendor services
  • Process Library & Documentation Maintain and expand the company’s internal technology process library, documenting procedures, workflows, and system guides
  • Use process documentation work as an active learning tool to build familiarity with the company’s technology stack
  • Submit process library additions and updates for supervisor review and approval prior to publishing
  • Tech User Feedback Tracking Collect and organize user feedback on technology tools, services, and experiences across the organization
  • Maintain a structured log of feedback for review by leadership; this role tracks and reports feedback, not determines action
  • Cyber Training Compliance Monitor and track monthly cyber security training completion across the organization
  • Follow up with users and escalate non-compliance as directed
