Overall Responsibility: We are looking for a high-functioning IT Operations Coordinator to serve as the operational backbone for our Chief Information Officer and the broader IT leadership team. This is not a technical support role; it is a Strategic Coordination role. You will be responsible for the seamless execution of the CIO’s professional and personal logistics, acting as a project tracker, vendor liaison, and executive gatekeeper. This role is perfect for someone who is "tech-literate," exceptionally organized, and thrives in a high-stakes environment where they can manage both business projects and executive lifestyle logistics.

Requirements

  • 3-5 Years of Experience in a high-level Coordination or Executive Support role, preferably in a tech-driven company.
  • At least 2 years of experience in personal or executive assistant roles.
  • At least 1 year of experience in junior IT roles or related education
  • This role is ideal if you want to start your career in IT but do not know where to begin. You will have the opportunity to work in different sectors of the IT sphere including but not limited to Software Development, IT infrastructure, IT Support, System Administration
  • Platforms and tools: entry to mid level proficiency in draw IO, Jira, Zoho, and other project management software.
  • Advanced proficiency of Microsoft 365 suit
  • Languages: We are a multicultural team and speak several languages across the company. English and Russian languages are required to native or bilingual level of proficiency.

Responsibilities

  • Executive Workflow Management: Audit and architect the CIO’s calendar. You will proactively move meetings, protect efficient work time, and ensure the CIO is focused on high-value activities.
  • Vendor & IT Liaison: Serve as the point of contact for external IT vendors. You will attend meetings, capture technical action items, and ensure that follow-ups are executed in a timely manner.
  • Project Support: Act as a supporting hand for our IT teams. You will track project milestones and report progress directly to the CIO, ensuring nothing falls through the cracks.
  • Logistics & Travel: Manage all aspects of travel lifecycle (flights, hotels, ground transport) and handle sensitive personal administrative tasks (scheduling family appointments, school/daycare logistics) to provide full-spectrum support.
