About The Position

Under the direction of the IT Manager, the IT Onboarding and Procurement position plays a critical role in ensuring the company’s employees are equipped, supported, and productive from day one. This role owns the end-to-end IT procurement lifecycle, IT onboarding/offboarding execution, and IT accounting coordination across multiple business units and cost centers. This is a high-impact, high-volume role that requires exceptional organizational skills, strong vendor and financial acumen, and the ability to navigate complex environments with urgency and professionalism. The individual in this role is a key partner to IT Operations. The IT Onboarding and Procurement position is responsible for procuring company laptops, desktops, software licenses, tracking hardware inventory accuracy, ensuring backstock is properly accounted for, and ensuring invoices are correctly coded and submitted to Accounts Payable prior to month-end and year-end close. This position is 100% onsite at our offices in Cottage Grove, WI.

Requirements

  • Associates degree in a computer related field and/or equivalent work experience.
  • 5+ years of experience in IT hardware procurement such as laptops, desktops, cell phones, printers, shipping label printers, asset management, or IT operations support.
  • Proven experience managing complex cost center structures across multiple business units.
  • Strong understanding of IT hardware lifecycle management.
  • Ability to manage high transaction volumes without sacrificing accuracy or service quality.

Nice To Haves

  • Medium to expert-level proficiency with Concur for purchasing, expense management, and invoice processing.
  • Experience procuring and managing mobile devices and supporting MDM environments.
  • Familiarity with IT asset management systems.
  • Experience working closely with HR and Finance/AP teams.
  • Exposure to vendor contract negotiations and lease management.

Responsibilities

  • IT Hardware Procurement:
  • Own the procurement of all IT hardware, including laptops, desktops, monitors, mobile phones, tablets, printers, peripherals, and related equipment.
  • Serve as the primary IT liaison with Accounts Payable and Finance for invoice review, coding, reconciliation, and dispute resolution
  • Managing purchases across multiple cost centers and SBUs
  • Ensuring purchases align with approved budgets and policies
  • Lead vendor quoting, pricing validation, purchase order execution, and order tracking.
  • Manage printer and copier lease agreements in coordination with vendors, including Adobe
  • Proactively identify procurement risks (supply chain delays, backorders, pricing changes) and communicate impacts early.
  • Drive standardization of hardware models to reduce cost, improve supportability, and streamline onboarding.
  • Mobile Device Management (MDM):
  • Support procurement, lifecycle management, and deployment of mobile devices.
  • Coordinate with IT Operations on device enrollment, replacement, and retirement within the MDM platform.
  • Work with cellular providers (e.g., Verizon, T-Mobile) on:
  • Contract negotiations
  • Plan management
  • Issue resolution and escalations
  • Ensure mobile assets are accurately tracked and aligned to users and cost centers.
  • IT Hardware Lifecycle Management:
  • Maintain accurate asset records, including purchase date, warranty, lifecycle stage, and assigned user.
  • Recommend refresh, redeployment, or retirement of assets based on lifecycle, performance, and business needs.
  • Support asset transfer processes across business units to maximize reuse and reduce unnecessary spend.
  • IT Vendor Management:
  • Build and maintain strong relationships with IT vendors and service providers.
  • Review vendors for pricing, reliability, and service quality.
  • Serve as the escalation point for vendor-related issues impacting IT operations or end users.
  • Continuously evaluate opportunities to improve pricing, terms, and service levels.
  • IT Onboarding and Offboarding Management;
  • Oversee all aspects of the onboarding and offboarding process as it relates to IT needs
  • Develop and maintain onboarding documentation, training and other materials
  • Work with various groups within the organization to streamline the onboarding and termination processes
  • Review hardware is returned when staff leave the organization
  • Help Desk and Operation Support:
  • Provide secondary support to the IT Help Desk, primarily related to hardware failures, replacements, and logistics.
  • Partner with IT Operations to ensure timely resolution and positive user experiences.
  • Communication/Teamwork:
  • Communicate with others in the company in a positive manner
  • Represent Johnson Health Tech NA in a positive manner when working with outside vendors
