About The Position

Overview: Snapscale is seeking an IT Helpdesk professional to provide administrative and first-line technical support to the IT department. This role manages IT procurement documentation, inventory and asset records, and equipment issuance and returns in coordination with Procurement, Finance, and Human Resources. The position also serves as the initial point of contact for users, troubleshooting basic hardware, software, network, and connectivity issues, escalating complex problems when needed, and ensuring accurate documentation and a positive support experience.

Requirements

  • High school diploma or equivalent required
  • Associate’s degree or related coursework in IT, business administration, or a related field preferred
  • 1–2 years of experience in administrative, clerical, office support, or technical environments preferred
  • Experience with IT support, records management, or document digitization is a plus
  • Basic knowledge of computer hardware, software, and IT terminology
  • Understanding of networking fundamentals, internet, and email troubleshooting
  • Familiarity with Windows operating systems (Windows 10/11)
  • Proficiency in Microsoft Office Suite or Google Workspace
  • Strong organizational skills with high attention to detail
  • Ability to document work clearly and manage digital and physical records
  • Excellent communication, customer service, and interpersonal skills
  • Ability to follow procedures, security standards, and collaborate across teams
  • Willingness to learn, adapt to new technologies, and work independently or in a team

Nice To Haves

  • Experience in IT helpdesk, call center, or technical support role
  • Knowledge of ticketing systems
  • Basic understanding of routers, modems, and firewalls

Responsibilities

  • Serve as the first point of contact for technical support (phone, email, chat, tickets)
  • Troubleshoot basic issues with internet connectivity, networks, devices, operating systems, and applications
  • Perform basic troubleshooting using documented procedures and knowledge base articles
  • Create, update, and document support tickets accurately
  • Assist with account access, password resets, and basic security practices
  • Follow IT deployment policies, security standards, and SLAs
  • Communicate clearly with users on issue status and resolutions
  • Participate in basic system checks and monitoring as assigned
  • Prepare and process IT purchase requisitions, justifications, and related documentation for submission to Procurement or Finance.
  • Ensure all procurement documents are accurate, complete, and properly approved prior to routing.
  • Conduct basic research to identify products or components that meet IT requirements.
  • Collect, organize, and maintain quotations and product information to support procurement requests.
  • Maintain well-organized physical and digital files for all IT procurement documentation.
  • Track IT equipment requests, deliveries, and returns in coordination with Procurement and Finance.
  • Record shipment details and update inventory upon receipt of equipment.
  • Maintain accurate documentation for all incoming and outgoing IT assets, including delivery receipts, packing lists, and asset tags.
  • Prepare and manage IT equipment issuance forms for new and existing employees.
  • Collect completed acknowledgment forms upon equipment handover.
  • Digitize and securely archive issuance records for compliance and tracking purposes.
  • Coordinate with Human Resources to ensure completed forms are included in employee personnel files.
  • Maintain confidentiality and integrity of all employee-related documentation.
  • Update and maintain IT asset tracking systems and spreadsheets.
  • Assist with labeling and tagging of IT equipment.
  • Support periodic inventory audits, reconciliations, and reporting of IT assets and consumables.
  • Maintain departmental files, records, and correspondence in both digital and physical formats.
  • Prepare reports and summaries related to procurement, asset status, and equipment issuance.
  • Assist with meeting scheduling, documentation, and internal communications.
  • Provide general clerical and administrative support to IT staff as needed.
  • Support documentation for contract renewals, warranty claims, and software license tracking.
  • Follow up on pending paperwork or information requests across IT, Finance, and HR.
  • Perform other administrative tasks as assigned by the IT Manager or department leadership.
