About The Position

The IT Coordinator is Utili-Serve’s internal point of contact for technology. When employees have a problem, this is the person they come to before picking up the phone to call a vendor. We have a third-party IT firm that handles our infrastructure. This role exists alongside them, focused on the internal side: managing devices, keeping software accounts current, and making sure our people, most of whom are construction workers, can get help from someone who actually knows them. We’re looking for someone earlier in their career who’s willing to do the less glamorous work without complaint and who has the initiative to make things better over time. This position reports to the Chief of Staff.

Requirements

  • Proficient in Excel; comfortable using formulas and data comparisons to audit records, reconcile lists, and surface inconsistencies.
  • Working knowledge of Microsoft 365 administration: user management, distribution groups, licensing.
  • Familiarity with Apple/iOS and Windows device management; hands-on experience with JAMF Now or a similar MDM platform is a plus.
  • Experience managing a Verizon business account or similar telecom setup preferred.
  • Comfortable working in SaaS platforms and handling basic vendor and contract management.
  • Keeps good records and documents processes clearly, not because someone asked, but because you believe it matters.
  • Can talk through a problem with both a blue-collar worker and then explain the same issue to an IT vendor, and neither one walks away feeling talked down to.
  • Patient with people who are frustrated or not tech-savvy. You take their problem seriously and you don’t make them feel dumb for asking.
  • Comfortable in negotiation conversations; knows how to push back professionally on vendors or employees when something doesn’t add up.
  • Works independently and manages competing priorities without needing to be told what’s next, but knows when to ask.
  • Demonstrates the ability to handle sensitive information and discussions with strict confidentiality and sound judgment.
  • Thinks about cost before making a recommendation. Doesn’t sign off on something just because someone asked for it.
  • Follows through. If you take something on, it gets done. You’re not the person who lets things quietly disappear.
  • Not looking for a static job. You want to understand how things work, fix what’s broken, and take on more as you earn it.
  • Associate’s or Bachelor’s degree in Information Technology, Business, or a related field (or equivalent hands-on experience).

Nice To Haves

  • Exposure to scripting or automation tools like PowerShell is a plus, though not required.
  • 1-3 years of relevant experience is a plus, though not required. Recent graduates with solid internship or project experience will be considered.

Responsibilities

  • Manage Utili-Serve’s Verizon business account: audit device usage, issue and recover phones and MiFi devices, order hardware, and coordinate plan changes.
  • Order, configure, and decommission company laptops; handle setup of Azure company profiles, remote management tools, and required software installations.
  • Administer JAMF Now MDM software; enroll new devices into appropriate profiles and keep the fleet in compliance.
  • Manage Microsoft 365 user accounts, licensing, and contacts across the organization.
  • Maintain distribution lists, including the company-wide “All Employees” group, so they always reflect current employees.
  • Reset and recover account credentials across platforms including Paycom, Dropbox, Outlook, and others as needed.
  • Serve as system administrator for platforms such as Dropbox and Smartsheet: manage user access, permissions, and licensing.
  • Own software vendor relationships, including renewals, contract reviews, and day-to-day vendor communication.
  • Evaluate and recommend software tools and hardware; match the right tool to the right need and push back when a request doesn’t make sense.
  • Run audit reports in Paycom to identify inconsistencies in employee records; coordinate cleanup with the HR team.
  • Be the go-between for field construction employees and the third-party IT vendor — take the problem in plain language, turn it into a real support ticket, and follow it through until it’s fixed.
  • Handle incoming IT requests from employees company-wide; resolve what you can, escalate what you can’t, and always follow up with the person who asked.
  • Keep clean documentation of IT assets, software licenses, and vendor contacts.
  • Handle onboarding and offboarding logistics: account provisioning, hardware assignment, and access revocation.
  • Watch for and flag security concerns, including phishing attempts and suspicious account activity.
  • Support the Chief of Staff on IT-related projects as the company’s needs grow.
