About The Position

The IT Advisor plays a central role in organizing, tracking, and managing the physical and logical technology assets under IT control. The IT Advisor is independently responsible for coordinating technology (software, hardware, and accessories) acquisition and distribution for IT and other departments. The IT Advisor also plays a key role in the testing of software solutions used by Ivey students and staff.

Requirements

  • Three-year college diploma from a recognized community college, preferably in Business Administration
  • Five years of related experience in asset and vendor management and quality assurance/testing.
  • Experience with both capital and operating budget practices and can develop annual budgets up to $3.5MM.
  • Demonstrated ability to work in a fast-paced technology-oriented department.
  • High attention to detail, self-organization, and self-management.
  • Ability to maintain confidentiality and security of sensitive data routinely exposed to in day-to-day tasks.
  • Professional presence and proven ability to coordinate with other institutions or partners when setting up meetings, site visits etc.
  • Strong analytical skills, ability to note trends in spending in order to support budget creation process.
  • Demonstrated ability to follow and optimize standards and procedures.
  • Ability to make decisions independently based on experience and the information at hand.
  • Ability to build and maintain relationships with IT team members, Ivey stakeholders, and external vendors.
  • Ability to recognize opportunities within the scope of responsibility and takes action without requiring additional permission or direction to do so.
  • Ability to convey ideas clearly and concisely either in person or in written communication.
  • Experience and ability to negotiate for best price or service level with external vendors.
  • Lifelong learner, improving future decisions based on past experience, manager feedback, and peer feedback.
  • High competence with software tools such as Microsoft Office, particularly Excel
  • High competence with Mustang Market, PeopleSoft and a variety of Ivey systems (Salesforce, eZone, Canvas)
  • Ability to understand the varying and unique needs of each customer group (Staff, Faculty, Dean’s Office, Students)

Responsibilities

  • Purchase hardware and software assets for Ivey in an accurate, timely, and cost-effective manner in conjunction with the Director, IT Service and Support.
  • Ensure asset requests are aligned with device standards as supported by IT helpdesk.
  • Centrally manage the acquisition and maintenance of software licenses and applications for the Business School and provide guidance for departments within Ivey to ensure cost-effective acquisition of all IT related resources.
  • Support and maintain Ivey/Western expense spending standards, particularly by purchasing all travel, conference, and training requests. Ensure all IT Department members follow the expense submission guidelines and procedures.
  • Work with the product development team to create and update internal testing and quality assurance best practices.
  • Generate and maintain documentation around test strategy and other artifacts.
  • Work within the IT team to define, estimate and contribute to testing effort and overall quality assurance best practices.
  • Work closely with the business units to ensure that testing processes, procedures and test cases remain relevant; document changes and updates as needed.
  • Maintain security, privacy, and confidentiality at all times.
  • Monthly tracking of IT expenditures against budgets, flagging any exceptions to the Executive Director, Information Technology upon reconciliation.
  • Assist the Executive Director, IT in the development of an annual IT budget for Ivey Business School and Ivey Foundation (as related to contract management and TRAC approval of commitments).
  • Maintain accurate inventory of hardware and software assets under IT management, including decommissioning old equipment in compliance with Ivey controls and policies.
  • Build good working relationships with vendors.
  • Negotiate with vendors to gain the best price and service levels possible for Ivey.
