About The Position

The IT Administrator at The Well is responsible for managing and improving the organization’s technology systems. This includes maintaining IT infrastructure, ensuring compliance with state and federal regulations, and supporting staff with their technology needs. The role requires strong technical skills, excellent organization, and the ability to balance day-to-day issues with long-term improvements.

Requirements

  • Bachelor’s or Associate’s degree in Information Systems/Technology Management or related field, or equivalent experience
  • At least two years of experience in the non-profit or human service field preferred
  • At least two years of sobriety if diagnosed with a substance use disorder
  • Advanced knowledge of computer systems and technology administration/management
  • Ability to diagnose, maintain, and repair computer hardware, tablets, and phones
  • Basic troubleshooting skills for networking, software, and hardware
  • Intermediate to advanced troubleshooting for networking, firewalls, VPNs, software, and hardware
  • Microsoft 365 certified or able to obtain certification
  • Ability to use MDM, Intune, Entra, Zoom, and Microsoft 365 (SharePoint, Teams, Word, Excel, Outlook)
  • Ability to configure, maintain, and update group policy objects (GPO)
  • Strong self-management, organization, initiative, accountability, and follow-through
  • Strong communication skills—clear, professional, and adaptable for different technical levels
  • Ability to work independently with problem-solving and decision-making skills
  • Organized, efficient, detail-oriented, with ability to adjust priorities
  • Willingness to ask for help or guidance when needed
  • Ability to work professionally with others
  • Knowledge of agency, state, and federal rules, policies, and procedures (including HIPAA and 42CFR Part 2)
  • Strong interpersonal skills; able to train and explain technical concepts in plain language
  • Proficiency in English—reading, writing, spelling, grammar, and punctuation
  • Ability to sit or stand for long periods, climb stairs, type 50+ WPM, lift up to 40 pounds, and use phones, keyboards, and mice
  • Valid driver’s license, insured vehicle, and ability to travel between facilities

Responsibilities

  • Learn and manage all IT processes, software, and equipment at agency facilities
  • Get training as needed on systems, laws, and regulations (including 42CFR Part 2 and HIPAA)
  • Ensure all IT systems meet compliance requirements
  • Work with the Director of Operations on IT goals, policies, and procedures
  • Recommend improvements to IT systems and processes
  • Stay within the budget and help develop the annual IT budget
  • Perform audits and lead IT projects to improve efficiency, security, and user experience
  • Oversee all agency technology equipment
  • Set up, maintain, and inventory computers and equipment
  • Recommend purchases, replacements, or decommissioning
  • Safely dispose of outdated equipment (including recycling/shredding)
  • Travel between agency facilities as needed (mileage reimbursed)
  • Provide IT support to all staff
  • Respond to issues and resolve them promptly
  • Monitor IT help requests daily
  • Offer training and written instructions for technology use
  • Manage Microsoft 365 systems
  • Add, remove, and update licenses, email accounts, and groups
  • Set up SharePoint and permissions for staff
  • Maintain and improve SharePoint and Teams systems
  • Work with outside vendors
  • Review quotes and contracts, recommend solutions
  • Serve as primary vendor contact
  • Maintain agency landline and mobile phone systems
  • Other duties as assigned
