About The Position

Fish & Richardson, a premier global intellectual property law firm, is seeking an IP Bill Review Specialist to join their Accounting Department. This role is part of The Hub, Fish’s remote-first group of professionals, meaning employees work primarily from home with no expectation of a regular in-office presence. The specialist will be responsible for accurately processing bills according to firm and client guidelines, proofing billing sheets, reviewing and editing bills within firm systems, and ensuring all client-specific billing notes are followed by mandatory deadlines. They will utilize various databases to track drafts, identify cancellation types, and update client billing instructions. The role also involves receiving and processing invoices, assisting with inquiries from legal staff and clients regarding invoices, and responding to team inquiries about billing and e-billing issues. Additionally, the specialist will act as the first escalation point for billing issues and provide recommendations to leadership for resolution, while maintaining good public relations and observing confidentiality.

Requirements

  • High School Diploma or equivalent
  • 1+ years of experience of administrative support in a professional office environment
  • Proficiency with MS Excel and MS Word
  • Ability to prioritize and organize multiple deadlines
  • Ability to use critical thinking and problem solving skills to complete assigned tasks

Nice To Haves

  • Experience within a legal firm is preferred
  • Experience with billing and/or invoicing is preferred

Responsibilities

  • Accurately process bills according to firm and client guidelines.
  • Proof billing sheets.
  • Review and edit bills within firm systems.
  • Ensure all client specific billing notes are followed by mandatory deadlines.
  • Utilize various databases to track drafts (missing, returned, processed), identify cancellation types, and update unique billing instructions for clients.
  • Receive and properly process/code and forward invoices according to firm and department requirements.
  • Assist with inquiries from legal staff, paralegals, accounting and/or client(s) with regard to invoices.
  • Review and respond to team inquiries regarding billing and e-billing issues.
  • Support team as first escalation point for billing issues and provide recommendations to leadership for resolution.
  • Maintain good public relations and observe confidentiality of attorney-client relationship.
