About The Position

The Invoicing Data Entry Clerk is responsible for accurately entering, processing, and maintaining invoicing information within the company’s billing systems. This position supports the invoicing process by ensuring customer invoices are processed timely, accurately, and in accordance with company procedures and client requirements.

Requirements

  • High School Diploma or equivalent required.
  • Previous experience in data entry, invoicing, billing, or administrative support preferred.
  • Strong attention to detail and accuracy.
  • Proficiency in Microsoft Excel and Microsoft Office.
  • Ability to handle high-volume data entry efficiently.
  • Strong organizational and time management skills.
  • Ability to work independently and meet deadlines.

Responsibilities

  • Enter invoice data into billing and accounting systems accurately and timely.
  • Generate invoices based on approved documentation, timesheets, purchase orders, or work orders.
  • Verify billing information, rates, quantities, and supporting details before processing invoices.
  • Maintain invoice logs, tracking spreadsheets, and supporting documentation.
  • Review invoicing records for discrepancies or missing information.
  • Coordinate with internal departments to obtain required billing information or approvals.
  • Assist with invoice corrections, revisions, and resubmissions when necessary.
  • Maintain organized electronic and physical invoicing records.
  • Support reconciliation of invoicing reports and records.
  • Ensure compliance with company invoicing procedures and customer requirements.
