About The Position

The Invoicing Associate will assist with answering multiple phone lines, greeting walk-in customers, assisting with customer inquiries by directing them to the appropriate department or personnel, and performing invoicing duties such as processing rental contracts and final payment calculations.

Requirements

  • High school diploma or equivalent required.
  • Minimum of 3 years of experience in a similar work environment, demonstrating strong organizational skills, solid math abilities, effective decision-making, and outstanding customer service.
  • Strong multitasking capabilities with the ability to excel in a fast-paced environment.
  • Excellent teamwork, interpersonal, and communication skills.
  • Invoicing: 1 year (required)
  • Computer literate in Microsoft Office Suite required.
  • 2 years of experience using Microsoft Excel required.
  • Ability to apply math concepts to practical situations.
  • Proven ability to perform basic mathematical functions accurately

Nice To Haves

  • Multi-line phone system operation: 3 years (preferred)
  • Customer service: 3 years (preferred)
  • 10 key preferred.
  • Bilingual English / Spanish preferred.
  • Ability to respond to basic inquiries and present information effectively to customers, co-workers, and management verbally and in writing.

Responsibilities

  • Process cycle bills daily using Quadient and Excel.
  • Add customer credit applications into Rentalman software.
  • Process freight bills using RentalMan software and Excel.
  • Prepare invoices for PAR branches.
  • Prepare payoff requests.
  • File.
  • Other related duties as assigned for PAR.
  • Answer all phone lines, take messages for PAR, assist with customer inquiries, and direct them to the appropriate department or personnel.
  • Greet walk-in customers and visitors, assist with inquiries, and direct them to the appropriate department or personnel.
  • Establishes and maintains effective communication with management, coworkers, vendors, and all other business contacts.
  • Conducts oneself in a manner that reflects positively on PAR and encourages others to do the same.

  • Maintains a neat and professional appearance.
  • Exhibits proficient written and verbal communication skills, including proper grammar and professional business correspondence.
  • Arrives at work on time as scheduled and returns promptly from breaks and meal periods.
  • Proactively seeks and participates in company-sponsored training to continuously develop and expand knowledge and skills.
  • Participates in all company- and location-driven communication efforts, including open book meetings, huddles, department meetings, and other related initiatives.
  • Maintains positive and professional working relationships with peers, management, and support resources, demonstrating a strong commitment to teamwork and exceptional customer service.
  • Keeps desk and office areas clean, organized, and presentable.
  • Performs all other duties assigned by management in a professional, timely, and efficient manner.
