About The Position

The Investments & Insurance Sales Assistant supports the Investments & Insurance business by providing exceptional service to existing and prospective clients, preparing and processing account documentation, maintaining client records, and assisting with practice management and administrative functions. This position plays a critical role in ensuring efficient operations, regulatory compliance, and a positive client experience while supporting the growth of the investment and insurance business.

Requirements

  • Exceptional organizational and time management skills.
  • Strong proficiency with Microsoft Office applications, including Word and Excel, and the ability to learn specialized financial services software.

Responsibilities

  • Provide high-quality service and support to existing and prospective clients.
  • Maintain and update client databases and records, ensuring information is accurate and current.
  • Coordinate and distribute client communications, including appointment reminders, birthday cards, and other relationship management correspondence.
  • Place appointment reminder calls and respond to client inquiries as appropriate.
  • Prepare new account opening documentation and supporting materials for client meetings.
  • Process completed paperwork and submit required documentation to appropriate institutions in a timely manner.
  • Serve as a primary point of contact for clients when the Investment Executive is visiting other branch locations.
  • Track referrals from branch and departmental partners and prepare periodic referral reports.
  • Assist with compliance-related activities, including surveys, audits, and blotter reviews.
  • Maintain inventory and distribution of marketing and educational materials for all branch locations.
  • Assist with scheduling, file management, and other administrative functions that support the investment and insurance practice.
  • Attend required training programs and maintain knowledge of internal procedures, regulatory requirements, and industry best practices.
  • Support special projects and perform other duties as assigned.
