About The Position

Morgan Stanley is offering a "Return to Work" program in its Menlo Park office from January 18, 2027, to May 7, 2027. The Investment Banking division seeks an Executive Assistant to provide high-level administrative support to an executive and their team. This role requires performing administrative functions with confidentiality, initiative, and sound decision-making. Responsibilities include research, report preparation, handling information requests, managing correspondence, greeting visitors, arranging conference calls, booking travel, and scheduling meetings. The position demands the ability to interact professionally with staff at all levels in a fast-paced environment, requiring flexibility, proactivity, resourcefulness, and efficiency. Experience in building relationships within a matrixed organization and handling administrative tasks with minimal supervision is essential. Adaptability in procedures, processes, and techniques to meet assignment completion and departmental goals is also necessary.

Requirements

  • Minimum of 3 years of experience in an Executive or Administrative Assistant role
  • High school diploma or GED is required
  • Being able to multi-task in a fast-paced environment
  • Experience in calendar management
  • Adaptable team player
  • Good problem-solving ability
  • Strong working experience with Microsoft Word, Excel and PowerPoint, including table creation, mail merges and basic formatting
  • Knowledge of general office procedures (e.g., filing, correspondence, scheduling, expenses, calendar)
  • Effective interpersonal skills and excellent telephone etiquette
  • Superior oral and written communication skills
  • Tact and good judgment in confidential situations and proven experience interacting with senior management
  • Individuals who have been out of the workforce for two or more years.

Responsibilities

  • Perform an array of administrative functions requiring confidentiality, initiative and sound decision making for the executive and his/her team.
  • Provide high-level administrative support by periodically providing research, preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, travel arrangements, and scheduling meetings.
