About The Position

Under moderate supervision, this role is responsible for maintaining proper inventory levels throughout the organization's product production cycle. This includes pulling or replenishing inventory to meet organizational needs, ensuring shipment and delivery schedules are maintained, and investigating and correcting inventory discrepancies. The position also involves performing periodic inventory reviews, recording quantities, types, and values of materials on hand, and includes office administration duties such as receptionist, order entry, invoice entry, training record management, and ordering supplies. The role requires continuous physical inventory management, including conducting entire warehouse stock counts, mapping the warehouse, creating ranges for analysis, investigating discrepancies, and preparing monthly reporting. Daily tasks involve stock checks, investigating customer order discrepancies, managing batch conversions, and monitoring new batch-controlled items. Additionally, the role handles warehouse short investigations, weekly reviews of non-conforming inventory, and other duties as assigned.

Requirements

  • High School education or GED preferred.
  • 2 years’ experience as an Administrative Assistant or other relevant administrative support/warehouse support.
  • Experience using warehousing computer systems.
  • Experience in completing wall-to-wall inventory counts in a large distribution center.
  • Experience operating powered industrial trucks (PIT).
  • Proficiency in MS Office (MS Outlook and MS Excel).
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and critical thinking skills.
  • Excellent written and verbal communication skills.
  • Advanced knowledge of Microsoft 365, Word, PowerPoint, Outlook, and Excel.
  • Initiative-taking with diligence and excellent follow-up.

Responsibilities

  • Maintain proper inventory levels throughout the organization's product production cycle.
  • Pull or replenish inventory to meet organizational needs.
  • Ensure shipment and delivery schedules are maintained.
  • Investigate and correct inventory discrepancies.
  • Perform periodic inventory reviews, recording the quantities, types, and values of materials on hand.
  • Perform office administration duties including receptionist, order entry, invoice entry, training record management, and ordering supplies.
  • Conduct entire warehouse stock counts and ensure inventory accuracy.
  • Map the warehouse and create ranges for analysis.
  • Investigate discrepancies at physical inventory grid locations and review variances between SAP systems.
  • Run CPI reports.
  • Identify high-traffic zones and analyze root causes.
  • Prepare monthly reporting to Corporate (Location accuracy, Dollar Accuracy, and Completion %).
  • Audit the precursor zone monthly and report outcomes.
  • Investigate discrepancies in customers’ orders (shortages, overages, and incorrect product shipments).
  • Run daily reports to review.
  • Run shorted Order Report daily to collect system shorts, and validate system accuracy regarding reasons for shorts.
  • Verify product lot numbers and dating information for internal Customers.
  • Provide quality assurance (QA) info on product lot numbers and expiry information for product recalls.
  • Move inventory stock upon request (both physically and in SAP system).
  • Manage monthly batch conversions verification and monthly monitoring of new batch-controlled items added to the system, verify load to SAP.
  • Perform monthly inventory counts of dated items with life codes in SAP (DWO), validate, rotate and report.
  • Analyze data and physical grid locations to ensure expired products have been removed from inventory and placed in non-conforming zones.
  • Report high dollar losses.
  • Log shorts that require further investigation.
  • Run a weekly review of non-conforming inventory and hold or release inventory zones as required.
  • Other duties as assigned.
