About The Position

The International Center Assistant is responsible for supporting the administrative and reception functions of the International Center. Responsible for creating a responsive, positive and welcoming environment to the International Center. Responsible for greeting visitors, answering phones, responding to email messages, assessing needs and responding appropriately. Independently answers questions about services and programs; provides information on immigration processes and procedures and university resources. Makes assessment and provides referrals to advising staff and/or Director on complex and escalated inquiries. Works closely with Administrative Coordinator to coordinate the day-to-day operations of the International Center. Provides administrative support including data entry, incoming and outgoing mail, and maintaining database information.

Requirements

  • Demonstrated ability to work as part of a team and to develop and maintain effective working relationships with colleagues throughout and outside of the University.
  • Ability to independently assess priorities and prioritize assignments in order to meet multiple deadlines and complete projects in an environment of competing objectives and frequent interruptions.
  • Excellent organizational skills in order to manage heavy workload which includes visitors and phone calls; manage appointment system; and provide excellent customer services.
  • Excellent interpersonal and customer services skills with the ability to interact effectively with the general public, students and scholars, campus administrators, staff, faculty and government officials.
  • Effective interpersonal communication skills to interact with individuals from a variety of cultural, social, economic and educational backgrounds; sometimes with limited English skills.
  • Ability to maintain confidentiality and to effectively communicate and perform responsibilities with tact, sensitivity, and discretion.
  • The ability to interact with professionalism and diplomacy in situations involving conflict and/or frustrated individuals.
  • Ability to recognize and defer sensitive issues to the director or appropriate immigration advisor to ensure that the University will be in compliance with federal regulations; and to protect an individual's immigration status.
  • Knowledge of various software programs; including Windows, Microsoft Word, Outlook, Excel and database management.
  • High school diploma or equivalent experience
  • Minimum of 3 years of experience working in an office environment.
  • Must be U.S. Citizen or U.S. Permanent Resident to comply with Department of Homeland Security and Department of State regulations.
  • Must be able to provide proof of work authorization

Nice To Haves

  • Working knowledge of U.S. government immigration rules and regulations as they relate to international students and scholars in F1, J-1, H-1B and SEVIS.
