About The Position

The Internal Audit Specialist is a member of a diverse team who provides records review and guidance for federal and state regulatory requirements in all areas of the college. This role is responsible for validating the accuracy, consistency, and reliability of course and student data whether on paper or within the college's student information system and content management software. Their primary role involves monitoring and validating data quality, identifying and notifying the applicable parties regarding errors or inconsistencies, training on strategies to prevent data integrity issues, and maintaining compliance by communicating regulatory requirements, to provide stakeholders with reliable information.

Requirements

  • Associate degree and five years of related experience in an educational environment.
  • Proficiency in Colleague by Ellucian, OnBase, or other student information and content management systems.
  • Independent worker with the ability to work with a highly organized team.
  • Demonstrated ability to perform assigned tasks readily, adhere to prescribed routines, and follow oral and written instructions.
  • Recognition of the purpose and services provided by the college.
  • Understanding of and commitment to the unique mission and vision of Forsyth Tech.
  • Experience with appropriate technology including Microsoft Office, spreadsheets, presentation and collaboration apps and software.
  • Ability to work in a diverse environment.

Responsibilities

  • Provide guidance regarding Federal guidelines, North Carolina General Statutes, Title 1 of the State Board of Community Colleges Code, State Board of Community Colleges policies and North Carolina Community College System Office Numbered Memoranda.
  • Assists with efforts to collect, organize, analyze, and train employees regarding applicable policies, procedures, and processes within the college.
  • Provides input regarding revision and creation of policies and procedures to meet federal and state regulations in alignment with the college vision and goals.
  • Assists other divisions across the college with questions regarding all state and federal regulations and policies.
  • Maintains confidentiality regarding student records in compliance with state and federal laws in accordance with the Federal Education Records Protection Act (FERPA).
  • Provides input regarding revision and creation of policies and procedures to meet federal and state regulations in alignment with the college vision and goals.
  • Work with the compliance team to identify needs and provide training workshops for employees as needed to ensure record accuracy and attain 100% correct reporting.
  • Attend federal and state compliance reviews to ensure college adherence to all applicable regulations.
  • Reports processing totals weekly and as otherwise requested.
  • Conducts CE, CCR and CU course record reviews
  • Create tickets and work with divisions to reconcile findings from reviews
  • Conducts sample NSC and NSLDS enrollment and graduate submission audits to validate data submitted.
  • Manages data quality monitoring and review for accuracy.
  • Conduct surprise reviews for applicable areas of college
  • Conduct % reviews in divisions to help prep for upcoming external audits/reviews
  • OnBase storage, review and indexing of all documents, where necessary for business continuity and compliance reviews.
  • Validate data submission of the North Carolina Community College System (NCCCS) Comprehensive Curriculum Student Report to provide curriculum student demographic, registration, completion, and financial aid information to the Data Warehouse.
  • Assists with data mapping and testing for Banner ERP implementation.
  • Tests and validates NCCCS patches upon release
  • Assists with Colleague Institution record cleanup and duplicate Person record cleanup processes.
  • Creates and updates job aids as relevant to the position.
  • Assists and/or facilitate various trainings across the college, as needed.
  • Assists with training for effective OnBase processes and best practices.
  • Assists the Director, Internal Audit with testing and review of documentation as part of the annual Eagle Reporting process.
  • Assist with creation of Internal Audit Findings Report for each area reviewed
  • Identifies and develops workflows to enhance processing efficiency across the college.
  • Serves on committees as required.
  • Cross-Train with other teams within the department for business continuity
  • Attends trainings, workshops, conferences, and professional meetings.
  • Participates in various events/activities around the college and attends required college-wide meetings such as Convocation and All Teams Day.
  • Pursues continuous improvement in the areas of subject matter expertise; diversity, equity, and inclusion; and other areas related to the strategic goals of the college.
  • Collaborates with the System Office to test new NCCCS application process and data cleanup initiatives.
