About The Position

This internship position within the Department of Enterprise Assets Management focuses on assisting with real estate and facilities management. The intern will support the development and implementation of inventory systems, administer contracts related to city-owned facilities, and coordinate contract specifications for negotiation and processing. Key responsibilities include ensuring property cleanliness and operational systems, scheduling maintenance, assisting prospective tenants, verifying tenant qualifications, and preparing lease agreements and other legal documents. The role also involves supporting tenant compliance reviews, typing correspondence and legal documents, processing contracts for approval, and maintaining various contract files.

Requirements

  • Currently pursuing a degree in a relevant field (implied by internship title).
  • Ability to assist in developing and implementing real property and facilities inventory systems.
  • Skills in administering and coordinating contracts.
  • Proficiency in preparing specifications for contract negotiation and processing paperwork.
  • Ability to verify 501c3 status, licensing, registration, financials, and rental history.
  • Experience in preparing lease agreements, amendments, and contracts.
  • Competence in typing, reviewing, and distributing documents.
  • Ability to support reviews of tenant compliance with contract terms.
  • Proficiency in typing correspondence, legislative documents, and legal contracts.
  • Ability to process contracts for approval and execution.
  • Skills in maintaining files for lease agreements, amendments, and contracts.

Responsibilities

  • Assist with tours property and grounds daily to ensure cleanliness, equipment systems and life safety systems are operational.
  • Support the scheduling and coordination of property-related maintenance as needed.
  • Assist prospective tenants by providing information on services offered through the City’s leasing facilities and determining compatibility with tenant needs.
  • Verifies 501c3 status, applicable licensing, registration with the Georgia Secretary of State Office, financials and rental history.
  • Assists in the preparation of lease agreements, amendments, contracts and legislative documents regarding city property and related matters, including typing, reviewing, photocopying and distributing to appropriate personnel and/or departments.
  • Support the reviews of tenant compliance with contract terms and recommends procedures to be taken to ensure adherence with contract stipulations, all applicable laws, codes and regulations.
  • Types various correspondence, legislative documents and legal contracts utilizing computer equipment including reviewing and correcting incorrectly entered data.
  • Assist in processing various contracts for approval and execution, and forwards documents to appropriate personnel for review and approval.
  • Provides administrative support in the development and implementation of a comprehensive real property and facilities inventory system.
  • Maintains files on, lease agreements, amendments, general maintenance contract, and renovation contracts.
  • May perform other duties as assigned.
